The Admin Manager is responsible for coordinating day-to-day administrative operations, supporting overall efficiency, and enabling teams to focus on core delivery. This role oversees administrative staff, manages workflow and systems, maintains accurate records, and acts as a key point of contact between internal teams, clinicians, and suppliers. Highly organised, proactive, and customer-focused, the Admin Manager ensures smooth operations and a professional, supportive environment.
Key Responsibilities
Operational Administration
Manage the daily administration of the lab, ensuring smooth, efficient, and well-coordinated operations.
Oversee reception duties, correspondence, email inboxes, phone lines, and general enquiries.
Maintain office supplies, equipment, and facilities, ensuring a safe, clean, and well-organised working environment.
Develop, maintain, and improve standard operating procedures (SOPs) for administrative tasks to ensure consistency, quality, and compliance.
Team Leadership
Supervise and support administrative staff, including training, development, and performance management.
Promote a positive, collaborative, and customer-focused culture within the lab.
Workflow & Systems Management
Coordinate order processing, case entry, and workflow systems between the admin and production teams.
Maintain accurate clinician and customer records, including price lists and account details.
Support production scheduling, logistics, dispatch, collections, and courier planning.
Finance & Reporting
Oversee administrative aspects of billing, invoicing, credit control, and purchase orders.
Work with finance teams to ensure accurate month-end processing, data integrity, and reporting.
Support documentation preparation for internal and external audits.
Stakeholder Support
Act as a key point of contact for clinicians, suppliers, and internal teams regarding administrative queries.
Assist in handling customer concerns or escalations, ensuring excellent service and timely resolution.
Collaborate closely with production, technical, and commercial teams to contribute to overall lab performance.
Qualifications & Professional Background
Proven experience in an administrative role.
Experience supervising or managing staff (desirable).
Experience in the dental industry or similar environment (desirable but not essential).
