Overview


We are seeking a

detail-oriented and proactive Administrator

to join our team. The ideal candidate will possess

strong organisational skills

and a

solid background in administrative tasks.

This role is essential in ensuring the smooth operation of our office and supporting various administrative functions across the Collective.

As administrator and managerial assistant within the Built Environment Collective (BE Collective) team, you will primarily support our Senior administrator and Operations manager with tasks across all businesses, as well as directly assist the Directors with ad hoc executive and administrative tasks.

BE Collective combines complimentary, collaborative, and like-minded individuals and companies that specialise and work within different areas of the built environment. Including Swann Edwards Architecture Ltd, White and Eddy Building Surveyors, WE. Consulting Engineers, Swann Edwards Addition, BE Energy, we have a varied and exciting portfolio across a wide range of sectors including domestic extensions, bespoke dwellings, residential developments, health care, commercial, industrial, educational, community and passivhaus projects.

Working 8.30am to 4.30pm, the successful applicant will:



Be the first point of contact for client enquiries Manage client application processes, documentation and records Develop and distribute client forms and correspondence Organise meetings and prepare minutes Provide regular contributions to the review of administration processes Manage record-keeping and related activities using Xero Log and maintain the practice client database ensuring compliance with data protection legislation Assist in the organisation and implementation of practice events as directed by the Office Manager Act as a point of administrative support for the Managing Director, performing PA-style tasks as required

You will need:



Excellent administrative skills and experience including letter writing Excellent use of written English grammar Demonstrated experience in a busy customer facing environment Ability to understand and interpret procedures and policies Ability to travel to the local bank and post office etc having drivers licence and own transport Ability to work autonomously and as part of a team Ability to effectively time manage and prioritise multiple tasks Excellent communication and customer service skills towards staff and clients Strong problem-solving skills Demonstrate excellent organisational skills, with the ability to manage and coordinate complex diaries, meetings, and appointments ensuring effective time management Good knowledge of Microsoft Office Professional attitude and presentation

While looking to cover full time hours, we are open to appointing either one full-time candidate or two part-time candidates for this role, and will offer the position(s) based on the suitability and availability of the most appropriate applicant(s).

Although we have listed the start date as September 1st, we are looking to fill the position with an 'as soon as possible' start date.

Pay: 23,400.00-25,740.00 per year
