Successful candidates must be willing to undertake any further training deemed necessary to fill this post including relevant safeguarding qualifications and Paediatric first aid. The successful candidate will have excellent communication skills, experience of working within a multi-functional administrative role, and have excellent organisational and interpersonal skills. The individual must be highly motivated, have the ability to self-manage and prioritise their own workload and have a positive attitude towards collaborating with parents, children, and nursery staff.
Job Brief:
Daisychain Day Nursery are looking to recruit an Administrator to support and organise our busy Nurseries day-to-day business. The role will be to take on the daily tasks involved in running an office to enable more senior team members to focus on working alongside the children.
We are looking for a responsible Administrator to organize our company's day-to-day operations for both sites Daisychain Day Nursery and Little Daisies. Your job will be to provide clerical/ advisory support to our managers and employees and coordinate all daily administrative activities.
The Administrator should be highly organized and be able to multitask with ease. The Administrator's main tasks include managing our daily diary and any emails into the business, looking after, and responding to our parent's administrative needs and requirements including our Admission process into the Nursery. The Administrator will be responsible for staff records and keeping all recruitment and ongoing checks for staff suitability up to date alongside assisting and minute taking in meetings when required. Our ideal candidate must have experience as an Administrator Office (essential) HR administrator (not essential but desirable) or relevant administrative role. You should also be familiar with office software (e.g., MS Office), including Outlook, Word, spreadsheets, presentations, and Teams.
The Administrator's responsibilities will include also supporting our finance administrator in her periods of absence from the business by maintaining records on software system Quick books for all transaction payments received from parents and carers. The role will also be supporting sending or creating invoices in the finance administrator's absence. Full training of the accounting software will be given upon appointment.

Responsibilities:
Answer calls and signpost or action any requests
Book meetings and schedule appointments
Order supplies for the Nursery
Maintain internal databases.
Keep employee records (physical and digital)
Maintain a filing system for data on customers and staff records.
Distribute incoming and outgoing mail.
Prepare regular parent communication and presentations.
Handle queries from managers and employees
Update company policies and ensure compliance with them.
Manage the administration of enquires of nursery places, making initial contact with parents to send out the nursery brochures and answer any nursery queries, send out bookings forms, chase nursery deposits, send out and collate nursery enrolment forms ready for starting nursery and ensure the completion of all nursery paperwork is completed by parents prior to starting, assist in the arrangements of stay and play sessions for new starters, prior to start date, create initial invoice for new starters and support parents in understanding how the invoice/payment system works.
Use Administration groups between sites to communicate with Management Teams at Little Daisies and Daisychain Day Nursery
Support with recruitment, ongoing suitability, and meetings with staff
Conducting research and feedback from Parents, staff, and Professionals.
Participate in payroll processes
Conduct any Administrative tasks, as requested by Nursery Management Team
Requirements and Skills
Proven experience as an Administrator or relevant role
Familiarity with office equipment, including printers and fax machines.
Knowledge of company policies and procedures
Experience with office management tools (MS Office software, in particular)
Excellent organizational and time-management skills
Strong written and oral communication skills
Problem-solving attitude with an eye for detail
