JOB DESCRIPTION
To greet patients in a friendly and courteous manner at all times
To greet all patients and visitors bilingually (regardless of whether you, or they, are Welsh speakers) and in accordance with the practice Welsh Language Policy
To make appointments for the clinical surgeries using the practice clinical system
To provide administrative support to all clinicians and management as required
To provide and receive information face to face, over the telephone, in writing or by electronic mediums from patients, doctors, practice nurses, colleagues, managers and other external contacts (eg community pharmacy, secondary care, nursing homes etc) and ensure that where necessary messages are passed on to the appropriate person(s)
Deal with instructions regarding blood/urine/swabs/x-rays received and ensure regular follow up where results are abnormal and patients have not perused them
Prioritise administrative workload i.e. patient recalls, QAIF recalls etc
Call and recall system for childhood immunisations
Run searches in the clinical system
When required, daily management of the pathology results system
Sort and arrange external (Royal Mail) and internal (Secondary Care) post for collection
To take prescription orders, assist patients with queries over new medication, drug names and generic products and pass these queries to the duty prescriptions clerk where applicable
Answer patient queries regarding various practice polices and initiatives
Pass messages on to clinicians by following the practice protocol
Ensure that all visitors sign in and out using the visitors book and are escorted where necessary
Liaise with consultants secretaries regarding patient referral queries and expedite appointments/tests as required
Liaise with central operations regarding patients change of circumstances
Scan and workflow incoming mail per practice protocol
To arrange new patient registrations and explain the surgery policies
To listen to patient complaints, making sure that they are addressed and dealt with appropriately by passing the information on to the Practice Manager
Recall and send patients' medical records
To file patients records in the correct manner
To check and update patients addresses, telephone numbers etc on both manual and computerised records
To scan all required correspondence accurately
To telephone for an ambulance as required by the clinician
To email any urgent documents required by the clinician
To create new patients' medical records
Monitor and action all patient DNA's according to practice policy
Advise patients of relevant fees for non-NHS services.
Accept payment and issue receipts for non-NHS services.
Enter relevant information from out of hours doctor reports onto the clinical system as required
Maintain and update patient priority lists
Draw the GP's attention to any patient who may require urgent attention
To cover duties for other members of staff, this may arise in the case of absence, sickness and holidays
Chaperone the GP or nurse if required
To ensure that your workstation is kept tidy and left secure after use at all times during your work hours ensuring that the practice premises and perimeters are left secure at the end of the day
Share responsibility for reception, waiting room and clinical rooms upkeep and tidiness including leaflets and posters.
To ensure that all prescriptions, confidential waste i.e. shredding and other required items are removed from all clinical rooms before the end of the surgery day
To ensure that strict confidentially protocols are adhere to
Attending and contributing to practice meetings where required
To attend training session on behalf of the practice as required
To comply with Health and Safety procedures and report any areas of concern to the Practice Manager or a Partner.
Opening and securing of the premises when required
To undertake any other duties as may be determined from time to time to ensure the efficient running of the practice.
This job description reflects the current main organisational priorities for the post. In the context of rapid change taking place within the WG/NHS/LHB/Practice, these priorities will develop and change in consultation with the post holder in line with services, business needs and priorities.
