This is a key support role working across both marketing and admissions. The successful candidate will help manage initial student enquiries through iSAMS, support admissions processes and events, and assist with creating and publishing marketing content (including photography) under the direction of the Director of Marketing and Admissions and the Admissions Manager. The role involves working closely with prospective families and agents supporting their admissions journey, while contributing to the school's wider marketing activity.
Key Responsibilities
Admissions
? Log all enquiries accurately into iSAMS and maintain up-to-date records
? Handle initial communications with prospective families (phone, email), including sending prospectuses and booking tour itineraries
? Support the coordination of visits, assessments, interviews and taster days - including setting up meetings and preparing materials
? Help prepare and send joining instructions, registration packs, and offer letters
? Assist with data entry and visa document tracking for international applicants
? Liaise with feeder schools, education agents and families as needed
? Assist with managing and updating parent portal content where required
Marketing
? Attend and photograph school events for use in newsletters, social media and other channels
? Assist with content creation for social media, news stories, email marketing and pupil recruitment materials
? Update basic content on the school website using the CMS system (training provided)
? Help prepare the weekly school newsletter and parent communications
? Support the delivery of Open Days and admissions events, helping with set-up, greeting families, and managing logistics
? Work collaboratively with the Director of Marketing and Admissions on planned campaigns and brand content
Administration & Reporting
? Help maintain internal dashboards, spreadsheets or records tracking enquiry numbers, applications, conversions and basic marketing metrics
? Ensure timely and accurate updates to all systems including iSAMS
? Help prepare materials or reports ahead of meetings when required
? Manage multiple tasks and priorities calmly and efficiently during busy periods
Person Specification
Experience and Qualifications
? Prior experience working in a school, preferably in a similar administrative or support capacity
? Confidence using school systems - familiarity with iSAMS or a similar MIS is essential
? Comfortable photographing events and handling simple editing for internal use
? Experience updating websites, social media or newsletter
? Excellent spoken and written English - confident writing short, clear posts or communications, and speaking authoritatively and kindly to families
Skills and Attributes
? Ability to manage multiple priorities calmly and efficiently
? Friendly and professional communication style, both written and verbal
? Highly organised and attentive to detail
? Discreet and reliable - able to handle confidential information appropriately
? Calm under pressure and comfortable with occasional changes to plans or priorities

? Flexibility to support occasional weekend or evening events (with notice)
Desirable but not essential
? Experience in international admissions
? Understanding of CRMs, MIS and Newsletter creation tools (eg Sway)
? Familiarity with basic content creation tools (e.g. Canva)
? Awareness of GDPR in relation to school marketing and data handling
? Experience of using parent portals or willingness to be trained
Working Hours
Full-time, 8.00am to 5.00pm - 40 Hours p/w
Based on-site at Ruthin School with occasional travel to feeder schools or local events.
