Job Description

Purpose of Role



To ensure the smooth running, security and safety of the accommodation sites for which you are responsible; to manage the sites maintenance work, undertake sales/lettings, assist financial control, provide excellent standards of service, organise events and actively promote the sites to attract new tenants.

Essential Duties and Responsibilities



Building Management



Ensure the site is a safe environment to live and work in by undertaking daily Health and Safety inspections and other designated responsibilities in line with SFM Health and Safety policy and procedures

Conduct regular inspections of properties, working with the maintenance team and the City Manager to ensure the standard of accommodation is maintained and maintenance requirements are identified at an early stage

Assess conditions at check out and process claims regarding the tenants deposit

Ensure the properties kept to a high standard

Ensure the reception and management suite is clean and tidy at all times

Respond to tenant maintenance requests in line with SFM procedure and timeframes

Regularly report to and liaise with the maintenance team and your City Manager to ensure all maintenance requirements are met and that issues are resolved and logged appropriately

Work closely with the City Manager to ensure full cross site working within Sheffield City Centre

Provide cover for the City Manager to provide an out of hours' service for emergencies when required

Work in cooperation with the in house teams across each site

Sales/Lettings



Have a strong understanding of the PBSA market, including competitors

Work with the City Manager to market and promote the sites locally and nationally through various media including key accommodation events and property open days ensuring the sites have sufficient exposure

Pro-actively generate leads to achieve letting targets Collaborate with the on-site lettings negotiators to ensure KPI's are met Respond to letting enquiries whether direct, face to face, telephone and email, securing tenancy bookings Perform apartment viewing with potential customers, giving them tours of the properties and facilities offered (including digital tours via social media and other forms of technology), discussing and understanding their needs Stay up-to-date with both the PBSA and BTR markets

Customer Service



Provide a high standard of customer service to all visitors and tenants Provide a 'Front of House' service at the property, responding to resident queries or issues, ensuring all matters are dealt with in a professional timely manner Complete organised customer check in and check outs - showing residents to their rooms and answering any queries they may have To file and maintain customer data and ensure all information is filed correctly, securely and is able to be provided as and when required Regularly report to and liaise with the City Manager to ensure all customer service requirements are met Resolve complaints and ensure customer satisfaction

Financial



Work with the City Manager and finance team in the rental collection and arrears process Ensure prompt collection of rents, monitor and chase arrears. Hold effective arrears conversations with customers, helping them to understand their current account balance and any actions they need to take Assist the City Manager with ordering and maintenance costs, to keep within budget

Skills and Abilities



Sales and marketing of PBSA and BTR

Ability to represent the business in a professional manner

Exceptional interpersonal and communication skills

Reporting

General administrative and day-to-day office skills

General computer literacy and skills together with competent Microsoft Office skill and experience

Full UK driving licence
