We are seeking a passionate and capable Assistant Practice Manager to join our dedicated team.
The Opportunity:
We are looking for a highly capable individual to step into an Assistant Practice Manager role. The successful candidate will be have a proven track record of success and posses strong problem-solving and critical thinking skills.
The initial focus shall be on consolidating the main reception duties whilst progressively integrating Assistant Practice Manager responsibilities.
Key Responsibilities:
Operational Support:
Day-to-day Management:
Assisting with the daily operational tasks of the practice, ensuring efficient workflow in reception, surgeries, and other areas.
Financial and Administrative Support:
Financial Administration:
Supporting with tasks such as processing payments, managing invoices
Data Entry and Reporting:
Assisting with the collection and input of data for reports on practice performance, patient numbers, etc.
Communication:
Acting as a point of contact for staff, patients, and external stakeholders, ensuring effective communication flow.
Team Support and Development:
Teamwork and Morale:
Fostering a positive and collaborative working environment within the team.
HR Support:
Supporting the Practice Manager with basic HR functions, such as managing holiday requests and absence records.
Strategic Support:
Supporting Practice Growth:
Assisting with initiatives aimed at practice growth and development, as directed by the Practice Manager.
Problem Solving:
Identifying and resolving operational issues and challenges as they arise.
Project Support:
Assisting with specific projects and initiatives within the practice.
Staff Supervision:
Supporting the Practice Manager in the supervision team related matters, including rotas, holidays, and performance.
Patient Coordination:
Helping to manage patient appointments, enquiries, and ensuring a positive patient experience from arrival to departure.
Diary Management:
Assisting with the efficient scheduling of patient appointments and the management of clinicians' diaries to maximise productivity.
Maintenance and IT Support Liaison:
Arranging for necessary maintenance and repairs, and liaising with IT support for any technical issues.
Compliance and Regulations:
Assisting with ensuring the practice adheres to relevant regulations, policies, and procedures (e.g., CQC in England).
What You'll Bring:
We require candidates with a
demonstrable track record
in a dental reception environment (at least 2 years)
Management experience within the dental industry is desirable.
Excellent communication skills, both written and spoken, in dealing with staff and patients.
Forward-thinking and proactive planning abilities.
A well-presented and articulate professional manner.
A calm, friendly, and efficient approach to work.
Strong attention to detail and organisational skills with good time management.
A results-driven attitude and a keenness to learn and develop new skills.
