Daily administration tasks mainly focus on the administration of bidding and safer recruitment, with a range of additional daily ad-hoc tasks to support multiple businesses. You will report to one director, who will become your line manager and single point of contact.
Typical Daily Routine:
Bid Administration & Ad-hoc Tasks
Review and update the bidding pipeline daily, ensuring all opportunities are categorised correctly into the following sections:
Live, Closed, Submitted, Unsuccessful, Awaiting a Response, and Unsuccessful for Future Review.
Ensure there are at least three bids ready for submission each week. Utilise stock information to complete standard sections, and use your initiative, AI tools, and research methods to draft responses to other questions. Populate first drafts thoroughly and accurately before passing them to the Business Director (your line manager) for review and submission weekly.
Corporate Social Responsibility (CSR) Fundraising
Keep an updated list of CSR organisations to target for funding and support opportunities.
Contact at least two organisations per week to share information about our projects and explore potential support through their CSR agenda or funding routes. Record all engagement and progress in the CSR log.
Handover any promising leads or opportunities to your line manager. If asked to complete a funding application, prepare the first draft thoroughly as outlined above under 'Preparing Bids for Submission' and forward it to your line manager for review and submission. This ensures a systematic approach to CSR fundraising and effective communication with potential partners.
Log all bid submissions on the bid management sheet 'BD HR Admin Management Sheet', recording relevant details. Regularly monitor the outcomes of submitted bids and maintain clear and ongoing communication with your line manager regarding progress and results. This process ensures the efficient preparation, submission, and tracking of bids while maintaining a well-organized pipeline.
Safer Recruitment Administration
The Safer Recruitment role involves managing the end-to-end recruitment process to ensure all hires meet the organisation's safety and compliance standards. This includes preparing and issuing job descriptions and collecting and verifying essential documents such as application forms, photo identification, proof of address, and qualifications. The role also involves obtaining references from previous employers and character referees to ensure candidates' suitability. An essential aspect of this position is coordinating pre-employment checks, including requesting and managing enhanced DBS applications. The role requires close attention to detail to ensure all returned documents are accurate and complete, following up with candidates to promptly address any gaps or discrepancies. Additionally, the Safer Recruitment role involves tracking the progress of recruitment tasks using tools like the SRMS, maintaining organised records, and marking tasks as completed once all requirements are met. Effective communication with candidates, adherence to safeguarding protocols, and timely updates to management are key to successfully executing this role.
