We are seeking a motivated and enthusiastic Business Co-Ordinator to be responsible for supporting a range of operational activity within Ditcham Park Enterprises Ltd. This role will support both the Bursar/COO, the Group HR Manager, the Tennis Academy, the Commercial Manager and the Nursery Managers, working autonomously on The Uniform Shop. The role will have a commercially focused lens to the operational activity to ensure maximum potential can be realised on our commercial activities.
Purpose of the Role

Key Responsibilities
The Ditcham Shop
Responsible for the day-to-day operations of uniform sales
Liaise with pre-approved suppliers to negotiate best rates
Liaise with parents, providing excellent customer service
Ensure stock levels are regularly monitored
Undertake termly inventory audits
Support with provision of tennis kit and merchandise for Tennis Academy
Conduct regular cost analysis to maintain optimal profit margins and ensure pricing remains competitive and sustainable
Ensure brand and logo consistency and uniformity in designs
Work in accordance with The Ditcham Shop policy
Identify additional merchandise opportunities to increase the revenue generated by The Uniform Shop
Tennis Academy
Liaise with the Head Coach, the Group HR Manager, the Bursar/COO, our third party accounting team, Altitude, and families - both Ditcham and non-Ditcham - attending or interested in the Tennis Academy
Maintain updated student registers for the Tennis Academy sessions, school holiday camps and tournaments
Create and maintain bookings for Tennis Academy sessions, school holiday camps and tournaments using the booking tool (Ticketsource)
Produce reports as required on attendees, bookings, financials etc
Be the main point of contact for the Tennis Academy, liaising between parents and the Head Coach
Facilitate termly KPI meetings
Organise and evaluate half yearly/yearly customer satisfaction feedback reports
Liaise with IT to ensure timely updates on the Tennis Academy web page and ongoing development of this
Communicate with the Tennis Academy community via email, web page, monthly newsletter, Junior Bulletin
Liaise with the School Marketing Director to ensure marketing activity of key events happens on Instagram and Facebook
Liaise with the School PE Department to facilitate a seamless link between the School and the Tennis Academy
Support LTA- related activities such as policy updates and tournament entry, organisation and communication
Create and update marketing related content for the Tennis Academy such as flyers, welcome packs, etc
Liaise with the School Estates department to ensure facilities and equipment are suitable for Tennis Academy needs
Leverage The Uniform Shop to provide suitable Tennis kit and merchandise
Order additional/replacement equipment as required and within spending authority
Support with other ad hoc activities related to day to day operations or projects to grow the Tennis Academy
Assist in the scheduling of Tennis Academy sessions, particularly ahead of the start of each term or where new sessions are launched
Ditcham Dragonflies
Provide operational HR administration support as required by the Group HR Manager, this may include onboarding activities such as co-ordinating new joiner documentation, employee lifecycle activities such as contractual changes, updating the training log and other ad hoc duties as required
General
You may also be required to provide HR administration support as required by the Group HR Manager in respect to school HR activity, such as scheduling interviews and co-ordinating new joiner documentation
Work with our third party accounting team, Altitude, to circulate monthly management reports
Person Specification
Experience working in a school or people centred organisation
Experience coordinating events and/or in a customer service focused role would be desirable, not essential
Commercial (ideally retail) experience
Essential Skills and Experience
Strong communication and interpersonal skills for collaboration
Excellent organisational skills including the ability to organise and prioritise work, pro-active 'can do' attitude, multitask, meet deadlines and work effectively under pressure
Strong IT skills
Experience in MS Office essential, knowledge of other systems is desirable, e.g. Canva
Must be prepared to undertake training and development, as required, particularly in relation to the introduction of new technology
Excellent level of communication skills including writing skills
To be confident in dealing with members of the public both over the telephone and face-to-face in a calm and responsible way
Ability to present material in an effective and appropriate style for promotion of various activities within the School or DPE Ltd remit
Ability to work with various stakeholders of different levels and interests
