Role Purpose



The Business Services Administrator provides essential support to ensure our programmes run smoothly and efficiently. This involves managing day-to-day operations and emails, sending out and collating joining instructions, preparing programme delivery materials, coordinating delivery schedules and supporting trainers and learners. The role also includes some financial responsibility in coordinating client invoices and managing additional costs on each Dove Nest course.

Key Responsibilities



General Administration



Receiving and directing all communications (e-mail, telephone, post). Monitoring stationery resources and reordering when necessary. Maintain hard copies of course content for all current and past clients. General office administration (typing, printing, binding) as required. Supporting with self-catering administration, including showing potential clients around building and groups in on arrival.

Programme Management



Maintain the master booking chart and produce weekly 'RUUTD' documents to ensure all programme managers are up to date. Prepare resources for each intervention including materials, briefings, psychometric reports and other supporting documents. Schedule bookings on the system ensuring facilitator/venue availability. Book accommodation and travel for facilitators when delivering away from Dove Nest Venues. Schedule room allocation, delegate lists and travel for facilitators at Dove Nest venue. Liaise with clients regarding venue bookings and scheduling. Liaise with support staff (facilitators, chef, technician) to distribute instructions and room lists. Manage participants throughout Dove Nest courses, including sharing joining instructions, programme / intervention manuals and psychometric tool reports. Manage participant files including dietary and medical information, CICS forms and course admin files. Distribute and manage survey links to delegates in order to gather course feedback. Processing Belbin Team Roles psychometric when required.

Financial Administration



Collate information for invoices to be raised promptly when courses have taken place. Liaise with other financial staff to coordinate client invoices and any outstanding queries. Calculating and charging additional delegate fees (e.g. telephone and internet usage). Liaising with accounts department and chasing outstanding client invoices.

Other Duties



To maintain and build up good staff relations with colleagues and associates. To be aware of and adhere to Dove Nest Group Policies and Procedures and act upon them accordingly. To communicate respectively with colleagues and other staff and guests. To keep a clean, smart appearance in accordance with the Dress and Appearance Policy. To be aware of and adhere to all Dove Nest Group rules and regulations ensuring they are actioned as requested by the company's health and safety policies. To be vigilant at all times to ensure the safety and security of the property, guests, other employees and self. To carry out any other reasonable requests made by Senior Management.

Experience



Highly proficient with e-mail systems and Microsoft office including Word and Excel. Understanding of leadership consulting service products and offers. Knowledge of principles and processes for providing client services, including meeting quality standards and evaluating client satisfaction. Outstanding project management skills demonstrating the ability to prioritise appropriately. The ability to work autonomously and independently, but also as an integrated part of a team to ensure best practise. Excellent English language skills, both written and verbal. A strong degree of self-reliance, tolerance for ambiguity and an ability to influence others positively. Exceptional interpersonal skills and a proven track record of influencing others - we are a people business! Discipline, resilience and persistence. Comfortable with working flexibly and changing priorities. Highly driven and self-motivated. Problem sensitivity - ability to understand when something is likely to go wrong and potential solutions. A critical thinker capable of identifying the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

Additional Information



The post holder's duties will require them to work across both Dove Nest's venues. Applicants will be subject to relevant DBS checks. Checkable work history, or full work history age dependent. Employment is subject to satisfactory references and proof of the eligibility to work in the UK.
