The role
The role is responsible for providing Business Support & Administration to the Chief Accounting Officer, UK Group CFO and Head of Claims ensuring adherence to global admin policies, procedures, and protocols.
Please note this is a 12 month FTC.

Key accountabilities
Chief Accounting Officer, UK Group CFO and Head of Claims
Coordinate all communications, including calls, emails, reports, letters - incoming and outgoing
Inbox management: prioritise and manage demands and correspondence
Intensive diary management; gatekeeping and time management skills of the essence
Travel management: arrange itineraries, bookings, meetings, and all transfers for business travel
Expenses: process all expenses and act as proxy for direct reports
Collaborate with Other PA on meetings, projects, deadlines, statutory requirements
Anticipate and plan for various reporting deadlines
Create and assist with office processes and systems to enhance company operations
Assist with daily ad-hoc office management related issues
Co-manage on-boarding for new starters and off-boarding for leavers
Cover for EAs (holidays, sick days)
Manage deliverables and follow-ups both incoming and outgoing
Executive Committee Member(s):
Diary management and meeting coordination
Travel bookings, itineraries, and expenses
Document and presentation support
Ad-hoc administrative tasks
Office Support:
Assist with the overall smooth running of the office
Contribute to the culture of the team
Work in partnership with satellite offices and remote admin
Collaborate with the Office Management team on projects

Skills & experience
A minimum of 3 - 10 years' experience in an office administrative role in an international company
Strong organizational and administrative skills, including proven ability to manage multiple
deadlines simultaneously whilst maintaining attention to detail Discretion and trustworthiness
Flexibility and adaptability
Good oral and written communication skills
Organisational skills and the ability to multitask
The ability to be proactive and take the initiative
Tact and diplomacy
Excellent communication skills
Must be able to work independently, as well as team player
Solid understanding of the Microsoft Office 365 suite of applications
Experience in supporting and managing all levels of management seniority
Must be able to remain calm under pressure
Strong analytical and problem-solving skills
