Job Purpose




Business Support - Support Partners and Solicitors as a whole on a day to day basis on key business requirements. Reception cover - First point of contact for visiting clients, calls and emails received. Office Management - Day to Day management of Multrees Walk Office. Provide a level of client customer service and client experience second to none to maximise business opportunities.



Key Responsibilities




Management of meeting room bookings and preparation/presentation of the facilities Management of catering requirements for corporate clients and other meetings held Setting up in-person and virtual meetings, appointments, liaising with staff and clients and answering queries.
Processing of Credit Card payments over the telephone and in person and creating appropriate credit slips - emailing to cashroom with daily returns and end of day banking slips.

Stationery cupboard checks and re-ordering as required
Highest level of customer service when greeting clients on arrival, secure sign in procedure and informing partners/staff of their client's arrival. First point of contact for all calls received on the main Multrees Office number Mail duties - collection of mail, sorting and franking mail, mail and DX drop off, scanning mail on to the system Administration duties, including using the Visual Files system, arranging couriers, booking taxis, kitchen maintenance, printer checks & filing Dealing with all suppliers / maintenance / Building Managers General day to day running of the office / assisting with any queries / issues for all members of staff Maintaining the office and arranging any necessary repairs



Qualifications




Desirable




Highers or equivalent in English and Mathematics Highers or equivalent in Business Highers or equivalent in Administration

Skills and Experience




Essential




Previous office / administration experience IT & Computer literate Ability to prioritise workloads / meet strict deadlines Pleasant telephone manner and efficiency in relaying and taking messages



Aptitudes




Ability to multitask, prioritise workload, great attention to detail and excellent organisational skills Portray a professional manner at all times Positive and proactive manner Flexibility and the willingness to learn Ability to work as part of a team Approachable manner and calm under pressure
