to join the Children's Services team. This is a full-time role (37 hours per week) providing essential administrative and business support to social work teams, helping ensure the effective delivery of services that make a difference in the lives of children and families.
The role will involve supporting colleagues both in the office and agilely, with an initial training period of approximately 6 weeks on-site in Usk. The successful candidate will bring excellent IT skills, strong attention to detail, and a commitment to providing a professional service.
Key Responsibilities
Administration
Manage incoming and outgoing correspondence (letters, emails, mail merges, calls).
File management of both paper and electronic records, ensuring accuracy and confidentiality.
Support with Data Protection Subject Access Requests (DSARs).
Provide accurate minute-taking for meetings (including occasional travel).
General administration including photocopying, scanning, printing, booking rooms, travel, and accommodation.
Diary management, scheduling, and issuing meeting invitations.
Maintain office supplies and stock control.
Conduct file audits to ensure compliance and accuracy.
Finance
Manage petty cash and record transactions in line with procedures.
Monitor and record cash expenditure across the service.
Communication & Customer Service
Act as first point of contact for safeguarding referrals, messages, and general enquiries.
Build positive relationships with colleagues, service users, and external partners.
Provide support for Digital Champion meetings and cascade information to the team.
Handle customer feedback and support service improvement.
Data & Systems
Maintain accurate records on internal systems (e.g., PLANT database).
Support social work teams in using systems and troubleshoot issues.
Create, update, and close cases on the system, maintaining high data quality.
Validate and produce reports to support performance and national measures.
Human Resources & Team Support
Provide administrative support for appraisals, team meetings, and recruitment.
Assist with onboarding new starters and maintaining HR records.
Support staff training, particularly in systems use and processes.
Ideal Candidate Profile
Essential Skills & Experience
Exceptional IT literacy and confidence with data systems.
Minimum of 6 GCSEs (or equivalent) at Grade C or above.
Experience working in an administrative/business support environment.
Strong organisational skills with the ability to manage deadlines.
Excellent written and verbal communication skills.
Ability to build strong working relationships with professionalism and confidentiality.
Flexible approach, able to work independently and as part of a team.
Awareness of safeguarding practices, confidentiality, and data protection.
Desirable
Experience of minute-taking.
Experience of managing data systems and producing reports/statistics.
Previous experience supporting Children's Services or Social Care teams.
Working Hours & Location
37 hours per week
Monday to Thursday: 9am - 5pm
Friday: 9am - 4.30pm
Location: Usk (initial training approx. 6 weeks in office), with agile working thereafter.
Pre-Employment Requirements
Standard DBS check (Children and Barred List).
Two satisfactory employment references.
