The Buying & Administration Manager is responsible for managing purchasing activities, supplier relationships, stock administration, and general office support to ensure the smooth day-to-day operation of our warehouse and restaurants. The warehouse stocks a variety of food and ambient products that service our restaurant/take away chains; Thai Express / Thai Express Kitchen/ Japami.
This role plays a key part in maintaining stock availability, controlling costs, and keeping accurate records and support the operations of the whole business (wholesale & retail). As well as upholding current relationships with suppliers as well as looking to foster new ones based on company needs.
Key Responsibilities
Buying & Stock Control
? Raise and process purchase orders for food and packaging supplies
? Monitor stock levels and reorder in line with sales forecasts and minimum stock requirements
? Liaise and negotiate with suppliers regarding pricing, availability, delivery schedules, and product issues
? Source new suppliers and products on an ongoing basis
? Check supplier invoices against purchase orders and delivery notes
? Support cost control by tracking price changes, highlighting variances and negotiating the best deals
Contract and Supplier Relationships
? Take responsibility to renew critical contracts such as Utilities, Insurance, Logistics, Maintenance etc
? Maintain and manage relationships with all suppliers and contractors to ensure we receive the best support and service at all times.
? Ability to raise compliant and push for the best outcomes
Warehouse & Operational Support
? Coordinate with warehouse staff to ensure deliveries are received and recorded correctly
? Resolve delivery discrepancies, shortages, or quality issues with suppliers
? Maintain accurate stock records within the warehouse management or accounting system
? Assist with stock counts and audits
Finance/Accounting
? Work closely with finance to ensure supplier payments are made weekly keeping within payment terms.
? Provide finance with foresight into ordering schedule and impacts on cashflow
? Reconcile key supplier ledgers weekly/monthly
Administration
? Maintain accurate purchasing, supplier, and product records
? File and organise documentation including invoices, delivery notes, and contracts
? Strong accounts administration (e.g. invoice queries, statement checks) and using of account packages such as Xero
? Answer phones, emails, and handle general office enquiries
? Provide administrative support to management as required
Skills & Experience
Essential
? Extensive previous experience in a buying, purchasing role in food distribution business
? You must have a minimum of 5 years of experience in this role and overall, 15 year working experience
? You have the skill to manage a number of administration tasks which will be 30% of the weekly work
? Strong organisational skills and attention to detail
? Confident using computer systems (Excel, email, stock or accounting software)
? Analytically minded and having strong quantitative skills
? Ability to manage multiple tasks and prioritise workload
? Excellent communication skills with suppliers and internal teams.
? The ability to negotiate and hunt the down the best deals
Desirable
? Knowledge of stock control or purchasing systems
? Understanding of food safety or traceability requirements
