The Client Relations Coordinator plays a pivotal role, serving as the interface between our clients and our luxury chauffeur service. This position demands exceptional interpersonal skills and an unwavering commitment to delivering extraordinary customer experiences. Bridge to other teams.
Key Responsibilities:
Serve as the primary point of contact, delivering an exceptional client experience
Provide timely personalised quotes to clients, with meticulous attention to detail
Process and manage incoming booking requests from end to end by email and phone
Maintain and update client relationship management systems and booking systems (CRMs)
Act as a communication hub, expertly routing customer enquiries to appropriate departments
Collaborate seamlessly with the Control Room, Tours Department and Sales team
Resolve client queries and potential booking complications with efficiency and diplomacy
Play a key role in onboarding new clients and nurturing relationships with existing clients
Support event planning and special client requirements
Undertake general administrative duties as required
Maintain awareness of and adhere to Company policies including data protection and confidentiality protocols
Contribute to continuous improvement of client engagement strategies
Person Specification:
Essential Qualifications and Skills:
Exceptional customer service skills with a proven ability to engage luxury clientele
Outstanding verbal and written communication skills
Impeccable attention to detail and professional accuracy
Demonstrated ability to multitask efficiently in a fast-paced environment
Advanced proficiency in Microsoft Office suite (Word, Excel, and Outlook)
Knowledge of working with CRMs
Demonstrated ability to work well under pressure and meet deadlines
Strong geographic knowledge of Edinburgh and Scotland
Proven problem-solving capabilities with critical thinking skills
Ability to maintain composure and deliver high-quality service under pressure
Flexibility to adapt to changing priorities and duties
GCSE or equivalent educational qualifications
Desirable Qualifications and Skills:
Previous experience in ground transportation, hospitality services or travel industry
Interest in travel and tourism industries
Experience of engaging with high-net-worth client bases
Understanding of luxury services
Previous experience of Hub Spot CRM
