Role Overview



The Club Secretary will be responsible for ensuring that all administrative, operational, and compliance tasks run smoothly across the club. You'll work closely with the Director and Head Coaches to coordinate registrations, fixtures, and communication with leagues, schools, and parents.

This is an excellent opportunity for someone passionate about football administration and looking to grow with a dynamic and expanding club.

Key Responsibilities



Oversee all

club administration

, ensuring smooth day-to-day operations. Manage

league registrations

, fixtures, and compliance for all teams. Handle

player registrations

and maintain accurate squad lists. Act as main contact for

league secretaries

and external football bodies (FA, JPL, etc.). Monitor and respond to

club emails, WhatsApp, and parent inquiries

. Support

international tour organization

(Spain, UK camps, and school partnerships). Coordinate with coaches on fixture scheduling, matchday logistics, and communication. Maintain

database of player information, consent forms, and payments

. Ensure

safeguarding and welfare compliance

are up to date. Support marketing/admin campaigns (e.g., registration forms, newsletters, etc.).

Required Skills & Experience



Strong

administrative and organizational skills

. Experience working in a

football environment

(academy, club, school, or league). Good understanding of

FA systems

,

Whole Game System

,

Spond

, or similar. Excellent written and verbal

communication skills

. Confident using

Google Drive, Gmail, and spreadsheets

. Ability to

multi-task and meet deadlines

independently. Friendly, approachable, and professional with parents and partners.

Desirable (Not Essential)



Previous experience as a

Club Secretary, Team Manager, or Academy Admin

. Knowledge of

youth football structures

in the UK. Bilingual (English/Spanish) preferred. Understanding of

international football logistics

(tours, camps, etc.).
