Overview


We are seeking a dedicated and organised Secretary to join our team. The ideal candidate will possess strong administrative skills and be proficient in various office software applications. This role is essential in ensuring the smooth operation of our office, providing support to staff and management, and maintaining efficient communication within the organisation.

Key Responsibilities

Organize and support Flag Officer and Board meetings (agenda preparation and
minute-taking)

Coordinate and assist with club events (social & sailing) Handle all general admin, including subscription collection and member
communication

Daily Bookkeeping using Xero including wages (in collaboration with the Treasurer) Help with growing the club's social media presence Maintain website and upload club functions Occasionally help with bar service and light catering at events Work closely with Flag Officers to uphold the club's strong reputation

Duties



Manage incoming phone calls with excellent phone etiquette, directing calls as necessary. Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date and correctly recorded. Maintain organised filing systems, both physical and electronic, to facilitate easy access to documents. Assist with clerical duties such as typing correspondence, reports, and other documents as required. Utilise Google Suite for document creation, scheduling, and communication purposes. Support financial record-keeping through QuickBooks, including invoicing and tracking expenses. Coordinate office supplies inventory and place orders when necessary to ensure the office is well-stocked. Provide general administrative support to team members as needed.

Requirements



You'll Need Strong organizational and interpersonal abilities Experience in admin and event coordination Basic bookkeeping knowledge (Xero experience preferred) A team-player mindset and flexible working approach Hospitality experience is a bonus (but not essential) Good social media and digital communication skills preferred
