Activ Camps Ltd is a friendly and lively company running multi-activity camps for children aged 4 - 14 across London. We are seeking a friendly, hardworking, and highly organised individual with proven experience in customer service and administration to join our office team. The successful candidate will demonstrate excellent attention to detail, a structured and methodical approach to their work, and a genuine commitment to supporting children and families.

Monday - Friday (Wednesday & Friday Work From Home)

Hours:

9:30 - 13:30 (Hours may vary during school holidays)

30,000 pro rata

Key Responsibilities



Act as a primary point of contact for parents, carers, and other stakeholders via telephone and email, delivering a high standard of customer service at all times. Demonstrate a strong knowledge of Activ Camps' programmes and services, confidently guiding customers through the booking process and answering queries accurately and efficiently. Clearly and professionally communicate Activ Camps' policies, procedures, and terms and conditions of booking to parents and carers. Manage all bookings, cancellations, amendments, and transfers in an efficient and organised manner, ensuring systems are kept accurate and up to date. Support the general organisation and day-to-day administration of Activ Camps, contributing to smooth operational delivery. Process payments from a variety of sources, including credit/debit cards and childcare voucher schemes, ensuring accuracy and compliance with procedures. Assist in handling customer complaints promptly and appropriately, working closely with colleagues to ensure concerns are fully investigated. Communicate clear, professional, and empathetic responses to complainants, ensuring resolutions are aligned with company policies and values. Prepare and maintain a range of registers for camps and clubs, including attendance, medical information, and Special Educational Needs and Disabilities (SEND) registers. Ensure all relevant information is accurately recorded, securely stored, and shared with appropriate staff in line with data protection and safeguarding requirements. Maintain regular communication with staff at camps and clubs, ensuring administrative processes are effectively managed on-site.

Essential Attributes



Minimum 18 years old with the right to work in the UK. Enhanced DBS Check (issued within 3 months, on the DBS Update Service, or willing to undergo one). Previous experience in customer service and administrative roles. Enthusiastic, caring, and able to engage with customers confidently. Proactive and resolution-focused, with the capability of working independently. Strong interpersonal and verbal communication skills, building positive relationships with parents/carers, children and colleagues. Reliable, trustworthy, and well organised with excellent time management.

Desirable Attributes



Experience working with children and/or young people including QTS, SEND experience. Coaching and/or activity and sports specific qualifications. Ofsted approved, 12-hour paediatric first aid training qualification.
