Summary
We are looking for a highly organised
Design Administrator & Sample Coordinator
to support our London design department and ensure smooth product development from concept to production. Reporting to the Design Director, acting as the key organiser in the team, the role will bridge creative design, technical development and production, helping to deliver high-quality garments on time.
This is a newly created role offering the chance to take ownership of the critical path process, improve workflow efficiency, and work closely with other departments including design, garment technology, purchasing, logistics and overseas suppliers. Responsibilities
Provide administrative support to the design team, including managing digital files, documentation and general office tasks.
Key Support for the design director with garment testing. Keep an organised log of all submissions and approved test reports for each fabric/style and keep all suppliers up to date with required testing.
Work well and maintain a strong relationship with the purchasing and logistics manager.
Keep the design department appraised of bulk orders going through so any running improvements can be made promptly.
Own and manage the critical path process, tracking timelines, deliveries and approvals to ensure all projects meet deadlines.
Host weekly critical path meetings and circulate actions to keep projects on track.
Assist with initial product set-up, including Bill of Materials (BOM) creation and updates.
Organise design assets, fabric swatches, trim libraries and sample catalogues.
Manage the full sample lifecycle: logging, tracking, preparing for fittings, photoshoots, trade shows and internal reviews.
Communicate daily with overseas factories and suppliers to ensure samples meet deadlines and specifications.
Support the garment technologist with quality checks, fit sessions and garment testing, maintaining accurate records and following up on feedback.
Develop awareness of sustainability requirements, eco-friendly materials and compliance regulations.
Assist with care label and PO label creation for suppliers.
Qualifications
Proven experience in a similar role of product development is required, including administration or sample management.
Highly organised with excellent attention to detail.
Strong time management and prioritisation skills
Professional and confident communicator, particularly with suppliers.
Keen interest in product development and quality
Collaborative team player with a proactive approach to take the initiative in identifying, reporting and resolving problems and roadblocks when needed
Will take ownership of assigned tasks and work with tenacity to drive projects forward and meet deadlines
Ability to work carefully and accurately under pressure and to tight deadlines, while dealing with multiple projects and priorities simultaneously
Knowledge of or experience with creating and maintaining BOMs would absolutely be advantageous
Proficient in Microsoft Office, especially Excel
Basic Adobe skills are beneficial but not essential (training provided)
