We are a small Medical Practice near the Portobello area of Edinburgh. We have the opportunity to recruit a recent school or college leaver who is interested in learning about business, administration and the work involved working in a Doctors Surgery. The successful candidate will be enrolled onto a Business and Administration Level 6 Modern Apprenticeship.
We are looking for someone to provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis. To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the partners and patients.
MAIN DUTIES AND RESPONSIBILITIES
Greet patients and visitors to the practice.
Book in, amend and cancel patient appointment in line with practice appointments procedures ensuing optimum efficiency of the appointment system.
Ensure that patients without appointments but who need 'urgent consultations' are booked into appropriate slots and referred to a GP where necessary.
Receive and accurately record requests for home visits, assessing urgency in accordance with the Practice's protocols. Print off home visit summary sheets.
Ensure computerised appointment system is up-to-date.
Respond and/or redirect all patient and visitor requests accordingly.
Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed.
Set-up of new patients on to the computer system.
Advise patients of relevant charges for private services, accept payment and issue receipts for same.
Produce repeat prescriptions according to practice procedures and ensure timely distribution of completed prescriptions.
Ensure correspondence, reports, results etc are filed electronically in correct patient record.
Ensure reception and waiting areas are kept neat and tidy
Re-stocking of information leaflets as appropriate
Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
Undertake administration tasks as allocated.
Action start and end of day procedures ensure answering machine service for out of hours information is directed appropriately - Ensure calls are going on to NHS at close of business each day.
Ensure up-to-date maintenance of both computerised and manual filing systems (ie patient notes).
Check emails on a frequent daily basis and send email information as required.
A Regularly check Daybook Tasks and Workflow to check all have been actioned and if necessary, help to action what is possible to do.
Advise Health Board of deceased patients using Vision.
Amalgamation of new patient records.
Check fridge daily for lab specimens.
What will I learn?
You will learn about data protection, storing and receiving data, diary management, how to use our IT and Database systems. You will also learn how to communicate in a busy office environment, how to manage your workload and customer service skills.
What qualifications or qualities are required?
National 5 Qualifications which should preferably include English.
Good IT skills and able to use Microsoft packages including Excel, Word and Teams
Good communication skills.
