The Document Controller ensures all technical documents, drawings, reports, certifications, and quality records are accurately maintained, controlled, and distributed according to company and regulatory standards. This role supports compliance with fire safety regulations and facilitates smooth project execution by maintaining robust document control systems for fire detection and suppression systems.
Key Responsibilities:
Establish and maintain document control systems aligned with ISO standards and fire safety regulations.
Receive, review, log, and distribute all technical documentation including drawings, datasheets, project reports, O&M manuals, and compliance certificates.
Track document revisions and ensure the latest versions are readily available to project teams, contractors, and regulatory bodies.
Ensure the confidentiality and integrity of sensitive documentation such as system designs, client plans, and tender documents.
Coordinate with engineering, installation, procurement, and QA teams to maintain consistent document workflows.
Support audits and compliance inspections by organizing and retrieving relevant documentation.
Maintain accurate records of fire system approvals, testing records, and commissioning reports.
Develop templates and document formats to ensure consistency and compliance across departments.
Train and support staff in document control procedures and the use of document management systems.
Monitor deadlines and regulatory submission timelines for document control deliverables.
Office-based with occasional site visits to review documentation at project locations.

Qualifications and Other Requirements:
Diploma or degree in Business Administration, Engineering, or a related field.
Minimum 2 years of experience in document control, preferably in construction, MEP, or fire safety industries.
Familiarity with fire detection and suppression systems (NFPA standards, BS 5839, etc.) is highly desirable.
Proficiency in document control software and MS Office Suite.
Strong organizational and attention-to-detail skills.
Knowledge of ISO 9001 standards and QA/QC documentation processes.
Data Centres admirable, M&E experience preferable
