We are seeking 3 highly organised and detail-oriented Eco Submission Administrators to join our team. The ECO Submissions Administrators will be responsible for the accurate and timely submission of completed energy efficiency works to funding partners, in accordance with current ECO guidelines and regulatory standards, including Ofgem requirements. This position is central to the compliance team, ensuring all documentation is meticulously audited, verified, and processed.
Key Responsibilities:
Auditing and Compliance:
Audit completed project files to ensure all documentation is accurate, compliant with ECO Scheme requirements, and meets Ofgem regulations. This includes reviewing survey data, photographs, certificates, and installation records.
Application Preparation and Submission:
Pre-check applications, prepare necessary paperwork for surveyors, and manage the end-to-end process of submitting completed works to funding bodies.
Documentation Management:
Chase outstanding paperwork and photographs from installation teams, maintain electronic and manual filing systems, and process completed installation paperwork.
Liaison and Coordination:
Liaise with internal teams (surveyors, installers, compliance officers, coordinators) and external funders to resolve queries, gather required evidence, and discuss allocations and targets.
Reporting and Monitoring:
Monitor submission deadlines, ensure accurate and timely reporting, track rejected submissions, investigate reasons for rejection, and resubmit with corrective actions. Prepare regular progress reports and dashboards for senior management.
Regulatory Knowledge:
Maintain up-to-date knowledge of ECO guidelines, funding rules, and Ofgem compliance standards.
Process Improvement:
Contribute to process improvements to increase efficiency and reduce error rates.
Customer Service:
Proactively manage any customer queries and remedial works.
Qualifications and Skills:
Experience:
Previous experience within the ECO industry, particularly with ECO4 (or ECO3/ECO2) submissions and compliance administration is preferred but training will be provided. Administrative experience, typically 2 years, is required but hardworking individuals will be considered
Attention to Detail:
Strong attention to detail and organizational skills are paramount, with the ability to spot inconsistencies in documentation and ensure a high level of accuracy in all tasks.
Technical Proficiency:
Confident user of Microsoft Office Suite (Excel, Word, Outlook) and industry CRM/portal systems. Good typing and keyboard skills are also beneficial .
Communication:
Excellent communication skills, both written and verbal, are necessary for liaising with various departments, surveyors, customers, and funding partners.
Organisational Skills:
Strong organisational and time management skills, with the ability to manage multiple tasks and submissions simultaneously and adhere strictly to deadlines.
Problem-Solving:
A proactive approach to problem-solving and process improvement.
Teamwork:
Ability to work independently and as part of a team in a fast-paced environment.
Desirable:
Experience working with Retrofit Coordinators and Installers under PAS2035 guidelines, knowledge of additional government funding streams for energy efficiency, and previous experience in auditing or compliance roles.
