We have schemes at present and upcoming in the Midland areas which will consist of Rewires, enabling Work, adaptations, upgrades, kitchens, bathroom installations to Social Housing properties and private houses, and we are looking to recruit an Administer/Project Planner reporting into the Electrical Manager
Job Overview:
As an Administrator/ Project Planner you will play a crucial role in ensuring smooth administrative processes, particularly in liaising with suppliers, record keeping, diary management, liaising with tenants and stakeholders. The role involves a combination of paperwork management, communication facilitation, and system updates.
Duties:
- Perform general administrative tasks such as answering phone calls, responding to emails, managing correspondence and liaise with suppliers to obtain quotes and invoicing
- Maintain office records and databases
- Assist with data entry and record keeping
- Prepare reports and other documents as needed
- Manage office supplies inventory and place orders when necessary
- Assist with bookkeeping tasks
- Liaising with tenants and customers to confirm installation dates
- Ensuring all relevant paperwork has been received
- Ensuring SOR's are loaded correctly and the correct ones used
- Running weekly invoicing reports and making sure all paperwork has been submitted to ensure invoicing is up to date for month end and meeting relevant deadlines
- Planning daily works for the electricians (diary management)
- Confirming appointments with residents on a daily basis
- Price matching to obtain best prices from suppliers
- Using Accounts software to complete orders
Qualifications:
- Proven experience in an administrative role
- Good knowledge of using Microsoft excel and Word
- Strong knowledge of office procedures and equipment
- Excellent data entry skills with a high level of accuracy
- Exceptional phone etiquette and communication skills
- Strong organizational and multitasking abilities
- Ability to work independently and prioritize tasks effectively
- Familiarity with computerized systems such as Sage but not a necessity as training will be provided
