We are looking for a highly organised Office Administrator to support our team and ensure the smooth running of our day-to-day operations.
Role Overview
The Wills & Trusts Office Administrator will provide administrative support across the business, working closely with estate planners and advisers. This role requires excellent organisation, accuracy, and a strong understanding of client care. You will be responsible for managing client communications, preparing documentation, and ensuring compliance with internal and legal standards.
Key Responsibilities
Act as the first point of contact for clients via phone, email, and in person.
Manage calendars, book client appointments, and coordinate document-signing meetings.
Prepare, edit, and proofread estate planning documents, including wills, trusts, and Lasting Powers of Attorney (LPAs), ensuring accuracy and compliance.
Maintain and update client files in line with GDPR and company procedures.
Arrange document execution, witnessing, and certification where required.
Track case progress and follow up with clients for outstanding information.
Assist with invoicing, payment recording, and general accounts administration.
Support advisers with file preparation, research, and client communication.
Handle incoming and outgoing post and maintain office supplies.
Uphold a high level of confidentiality and professionalism at all times.
Skills & Experience Required
Previous experience in estate planning, legal administration, financial services, or a professional office environment (preferred but not essential).
Excellent written and verbal communication skills.
Strong attention to detail and a high level of accuracy.
Competent with Microsoft Office, CRM systems, and general IT tools.
Ability to prioritise workload, manage multiple tasks, and meet deadlines.
Professional, polite, and confident when dealing with clients.
Understanding of GDPR and handling sensitive personal data.
