We are seeking a highly organised and customer-focused
Event Sales Administrator
to support our sponsorship sales team.
This is a new role in a growing business. You will be the main point of contact between event sponsors/exhibitors and the sponsorship team from the moment a contract is signed to delivery of a sponsorship package at the live event.
The company
Alternative Events is one of the UK's fastest growing independent B2B events companies, specializing in the professional services and technology sectors.
We bring people together, creating opportunities for sellers and buyers of technology and innovation in professional services to network, learn, do business and have a great time.
We currently run nine-ten live events per year for specific groups of innovators and tech strategists across the industry. The events are free-to-attend for qualified delegates in law and accountancy. Revenue comes from sponsorship.
If you join us, you'll be surrounded by engaged, inventive and friendly people who genuinely care about creating lively, collaborative events that are fun to attend. We work as a very close team and love getting together for our events, and for summer and winter socials.
The role
As Event Sales Administrator, you will help Alternative Events deliver the sponsorship packages we sell to vendors.
This is a customer-facing role, ensuring that our sponsors receive the highest level of service and value from their engagement with our events. Once a sponsorship contract is signed, you will coordinate our communication before, during and after each event and you'll ensure our team delivers on all elements of that contract.
This role is ideal for someone with strong organisational and customer service skills, confident in communicating on the phone, by email, and in person.
Main responsibilities
While we expect everyone in the company to pitch in when needed to get things done, your specific responsibilities will be:
Coordinate electronic signatures for sponsorship contracts and ensure all parties have signed and received copies
Act as the main point of contact for sponsors once contracts are signed
Coordinate with internal teams (marketing, operations, content, accounts) to ensure smooth delivery of sponsor benefits
Monitor exhibitor checklists to ensure that we collect the right information from our sponsors and that what we do for them matches the contract
Chase and collect sponsor marketing assets (logos, bios, etc.) and ensure timely upload to the event website
Respond to sponsor queries regarding logistics, registrations, and digital platforms such as our event app Whova
Maintain and update CRM with sponsor and delegate data
Monitor and follow up on invoice payments and outstanding balances
Chase sponsor speakers and confirm session topics where needed
Take responsibility for the sponsor registration forms
Maintain shared resources like exhibitor lists and event planning documents
Assist with business travel bookings
Attend our events (which require overnight stays), working alongside the team to deliver the events on the day
Requirements
Proven experience in customer service
A proactive mindset
Comfortable & confident making outbound calls in professional manner
The ability to manage data and streamline processes
Strong relationship-building and networking skills
Highly articulate with impeccable written and verbal communication skills
Detail-orientated and analytical
Persistent and focused on results, and very attentive to the needs of our customers
Willingness to learn new processes and systems where necessary
Experience of working with a CRM would be an advantage (we use HubSpot).
