As we continue to expand, we are seeking an experienced and highly organised Executive Assistant & Events Coordinator to provide direct support to our senior leadership team and to take ownership of planning and delivering company events. This is a pivotal role that requires exceptional organisational skills, attention to detail, and the ability to manage a diverse workload with professionalism and discretion.
The Role
The Executive Assistant & Events Coordinator will serve as a key point of contact for executives and the management team. You will be responsible for executive-level administrative support, managing complex diaries, coordinating travel, and ensuring the smooth execution of both internal and client-facing events. The ideal candidate will combine strong administrative expertise with creativity, problem-solving skills, and a proactive approach.
Key Responsibilities
Executive & Administrative Support
Provide comprehensive diary and inbox management for senior executives.
Coordinate national and international travel itineraries, including flights, accommodation, and logistics.
Prepare reports, presentations, and correspondence on behalf of leadership.
Manage payroll administration and support general HR processes.
Events Management
Plan, coordinate, and deliver a variety of events including client functions, corporate meetings, staff engagement activities, and external conferences.
Liaise with venues, suppliers, and contractors to ensure events are delivered on time and within budget.
Manage event promotion, including the design of branded materials, posters, and internal communications.
Provide on-site event management to ensure seamless execution.
People & Recruitment Support
Conduct initial candidate screening and recruitment calls.
Support onboarding processes and ensure new starters receive a positive introduction to the business.
Act as a key contact for staff queries and assist with HR administration.
General Office Management
Ensure the smooth running of daily office operations.
Maintain accurate records, databases, and filing systems.
Support with ad-hoc tasks to ensure business efficiency.
About You
1-2 years previous experience as an Executive Assistant, Personal Assistant, or Events Coordinator (ideally within a fast-paced environment).
Strong organisational and time management skills with the ability to prioritise effectively.
Excellent written and verbal communication skills.
High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Confident in managing multiple stakeholders and building strong professional relationships.
Creative mindset with an eye for detail when producing branded materials.
Discreet, professional, and proactive with a solutions-focused attitude.
Willingness and availability to travel
