We are seeking a highly organised and professional receptionist to join our premium medical clinic. The successful candidate will provide comprehensive administrative support to our medical team, ensuring the smooth operation of day-to-day activities in a busy and specialised clinical environment. They will be the first point of contact for patients, providing excellent customer service and administrative support to ensure a smooth and efficient patient experience. This role requires a welcoming attitude, strong organisational skills, and the ability to manage patient information in line with confidentiality guidelines. A background in healthcare is desirable but experience with social media is preferred to assist with the promotion of our services and engage with patients and the wider community.
Key Responsibilities:
Patient Reception: Greet patients as they arrive, ensuring a warm and professional welcome. Assist with the check-in process and ensure patient details are accurately recorded and a smooth medical experience.
Appointment Management: Schedule, confirm, and reschedule patient appointments, including pre-operative and post-operative consultations. Coordinate with ophthalmologists and other staff to manage clinic schedules effectively. Manage rescheduling and cancellations when necessary and provide general assistance to patients and visitors in a professional manner.
Phone and Email Communication: Answer phone calls, respond to patient queries, and provide relevant information. Handle email correspondence promptly and professionally.
Medical Records Management: Ensure patient records are updated accurately in the system and maintain confidentiality in line with GDPR regulations. Prepare patient files for appointments and ensure all required documentation is available.
Billing and Payments: Assist patients with billing queries and process payments for services rendered, including self-pays or insurance billing information.
Sales: Effectively communicate the benefits and features of the Clinic's medical services to prospective clients, ensuring they understand the value we provide.
Social Media Engagement: Help manage the practice's social media presence (e.g., Instagram, Facebook, Instagram, Twitter) by posting updates, health tips, and promoting ophthalmology services. Engage with patients and the community to enhance the practice's online visibility. Ensure all posts align with the organisation's policies and professional standards.
General Administrative Support: Provide general clerical support to the medical team, including filing, typing, and managing correspondence.
Liaise with Medical Professionals: Communicate with hospitals, GPs, optometrists, and other healthcare providers to coordinate patient care, including referrals and follow-up appointments.
Required Qualifications & Skills:
Previous Experience: Experience as a receptionist or "front-of-house" or a previous role in hospitality, preferably in an ophthalmology or healthcare setting, is desirable. A proven experience in a sales environment, preferably in a medical setting is desirable.
Typing & IT Skills: Fast and accurate typing, proficiency with office software (Word, Excel, Outlook), and familiarity with medical records software.
Social Media Experience: Proven ability to manage social media accounts alongside healthcare national guidelines, including content creation, responding to patient queries, and enhancing online engagement.
Communication: Excellent verbal and written communication skills, with a confident and professional phone manner.
Organisation: Strong organisational skills, attention to detail, and the ability to manage multiple tasks effectively in a busy environment.
Confidentiality: Understanding of the importance of patient confidentiality and data protection (GDPR).
Interpersonal Skills: Ability to work well in a team and interact with patients in a compassionate, calm, and professional manner. To be flexible in their role and adapt to changing environment.
Education: GCSEs (or equivalent) including English and Mathematics at grade C or above.
Desirable Skills:
Familiarity with ophthalmology terminology and procedures.
Experience with medical billing, particularly in ophthalmology or similar specialities.
Knowledge of healthcare regulations and data protection laws.
