Job Overview
We are seeking an Executive Assistant to support our Senior Leadership Team (CEO, CFO, and Operations Director), reporting directly to the CEO. This newly created role is essential to enhancing the team's effectiveness by delivering high-level organisational support and relieving them of day-to-day operational demands.
As the Executive Assistant to the Leadership Team, you will play a key role in ensuring the smooth and efficient running of our practice. You will work closely with senior leaders in a fast-paced environment, delivering proactive administrative support, coordinating priorities, and helping streamline workflows across the organisation.
This is a full-time, on-site position (40 hours per week, Monday to Friday, 9:00 am - 5:00 pm).
Duties
Executive & Administrative Support
Manage diaries, schedules, and inboxes for the Senior Leadership Team, prioritising tasks and communications.
Prepare and proofread correspondence, reports, presentations, and other business documents.
Coordinate travel, expenses, and general administrative tasks as required.
Provide confidential support to the CEO, CFO and Operations Director, and wider leadership team.
Communication & Coordination
Act as a key point of contact for internal and external stakeholders, including clinicians.
Ensure professional and timely responses to enquiries and facilitate smooth cross-team communication.
Meetings & Events
Organise and coordinate meetings, including agendas, materials, logistics, and minute-taking.
Track action items and follow up to ensure deadlines are met.
Support planning of team events, offsites, and organisational activities.
Information & Document Management
Maintain organised, accurate, and confidential files and documentation.
Ensure key documents are accessible and up to date.
Project & Operational Support
Assist with special projects, research, and operational initiatives across the organisation.
Support onboarding activities and general office management tasks.
Medical Appointment Applications
Oversee coordination of clinician documentation for Medical Appointments Committee submissions, working closely with HR.
Expereince & Qualifications
Previous experience as a PA, EA, Team Assistant, or in a comparable high-level administrative support role.
Strong organisational skills with the ability to manage multiple priorities effectively.
Excellent written and verbal communication skills, with strong attention to detail.
High level of professionalism, discretion, and sound judgment when handling confidential information.
Proficiency in Microsoft Office and the ability to quickly learn and adapt to new software and digital tools.
Broad understanding of head office administration, including diary and inbox management, document preparation and formatting, office coordination, and accurate record keeping.
Experience supporting senior executives or management teams--ideally within healthcare or professional services--is highly desirable.
