Role Overview:



We are seeking a proactive, highly organised

Team Assistant

to support the wider investment, research, and operations teams at Pioneer Point Partners.
This role is pivotal in ensuring the smooth running of day-to-day operations -- from diary management and travel logistics to supporting internal systems, onboarding, and firmwide events. The successful candidate will thrive in a fast-paced environment, demonstrate excellent attention to detail, and approach all tasks with a solution-focused attitude.

The role is office based 4 days per week and the ability to work from home on Fridays.

Key Responsibilities



Administrative & Diary Management



Manage complex diaries for multiple stakeholders, scheduling internal and external meetings across multiple time zones. Create and issue calendar invites from meeting room calendars to avoid conflicts. Ensure all meeting invites include relevant context or email threads where appropriate. Coordinate recurring meetings (weekly, monthly, quarterly) for project and theme teams. Maintain structured digital filing and calendar systems on Microsoft 365 and SharePoint.

Travel Coordination



Arrange end-to-end travel logistics for the team, including flights, accommodation, transfers, and restaurant reservations. Liaise with Pioneer's travel agents to secure competitive rates and ensure travel preferences are met. Maintain detailed travel itineraries in Outlook calendars and ensure all bookings are diarised accurately, including TBCplaceholders where needed. Organise logistics for board members and external advisors during meetings or offsites.

IT & Systems Support



Liaise with the IT provider to resolve issues and onboard new team members. Manage Microsoft 365 admin console for user access, licenses, and group memberships. Monitor quarantined emails in Barracuda, ensuring legitimate messages are released and senders are whitelisted.

Event & Trip Organisation



Lead the planning and execution of the firm's

Christmas Lunch/Party

(London-based, typically involving a lunch and/or a team activity). Work closely with travel consultants, hotels, and local contacts to ensure flawless delivery. Maintain cost spreadsheets and liaise with finance for deposits and payments. Coordinate pre-trip communications and diary holds for all staff.

Research Team Support:



Schedule and maintain monthly

Theme Team Meetings

, ensuring agendas and trackers are up to date. Update the

Conference Tracker

regularly with upcoming and attended conferences. Maintain accurate SharePoint trackers and reports for quarterly updates.

Contacts & Data Management



Add and maintain contact records in DealCloud CRM, ensuring data accuracy and correct attribution. Liaise with external assistants and administrators across Pioneer's portfolio companies to coordinate logistics and communication. Manage updates to internal contact databases and ensure consistent formatting.

Key Skills & Attributes:



Highly organised with exceptional attention to detail. Strong multitasking skills with the ability to prioritise under pressure. Discreet and professional approach when handling confidential information. Excellent written and verbal communication skills. Confident user of Microsoft 365, Outlook, Excel, SharePoint, and CRM tools (DealCloud experience preferred). Proactive, resourceful, and solutions oriented. Comfortable interacting with senior stakeholders and external partners.

Qualifications & Experience:



Previous experience in an executive or team assistant role within financial services, consulting, or a professional environment. Demonstrated ability to manage complex travel and scheduling. Experience supporting multiple stakeholders simultaneously. Exposure to event planning or corporate trip coordination advantageous. Above all, a keen team player, both friendly and approachable!

Pay: 35,000.00 per year
