Job Description

Anabas are a dynamic, national Facilities Management company whose focus lies in supporting corporate office occupiers who look for a great workplace experience.

We are looking for a Administrator to work 37.5 hours per week, Monday to Friday in our Facilities Department based at our client site in Leeds, LS3 1EP. This is a Fixed Term Contract until end of June 2026.




You must have knowledge and experience of working in Word, Outlook, Teams, Excel and Powerpoint and be able to cover various Admin tasks for our client as well as Anabas. Experience of supervising admin staff is desirable.


We are looking for someone with excellent customer service skills, ability to multitask and be flexible. Training will be provided for this role and duties will include:

Daily meetings with admin staff to make sure they are well, all tasks are up to date etc Dealing with all parking queries in the absence of the Account Manager and update sheet accordingly Monthly check of the consumables and ordering if required Compiling and preparing the TU Monthly Board Report, Prepare the SLA Report Quarterly property reports and chase relevant departments for information required Keeping the How to Guide update for the site Raising of Purchase Orders for Anabas and TU and logging all details onto SharePoint. Making sure all POs are chased and approved in a timely manner and make sure the spreadsheet is up to date Keeping Suppliers and Contractors spreadsheet up to date for compliance and folders In the absence of the Account Manager, raise POs, close jobs on QFM (CAFAM system), update PPM planners, arrange cover where required, arrange callouts - Anabas systems Carrying out weekly cleaning audits and feedback back all findings to the Cleaning Supervisor and making sure standards are being delivered. Cover tasks of the Office Administrator in their absence i.e posts, Remedy, ordering of stationery, covering front desk and dealing with deliveries. Cover Account Manager when absent by managing and motivating the floor captain team ensuring all tasks are completed on a daily basis in a professional and competent manner Making sure all paperwork is uploaded onto SharePoint for Compliance and chasing the relevant Managers when information is out of date. Also updating the spreadsheet for auditing. Update of any Action Plans that are ongoing for Office Projects Make sure all PPM for the floor captains is carried out, paperwork completed and Anabas Engineer when on site has a list of jobs to do and close off accordingly Update skills matrix for TU staff Dealing with all parking queries in the absence of the Account Manager and update sheet accordingly Dealing with all booking for the meeting rooms for Leeds and London, update the spreadsheet and chase for requirements Carry out any other admin duties as and when required.
