Job Description

MAIN FUNCTIONS:



To provide an administrative service to the Somerset Federation.

To proved an administrative service to the County Chairman & Board of Trustees.

To proved facilities management of our Federation office.

PRINCIPLE RESPONSIBILITES



Administrative service - to the Federation

Monitor Federation communications (post, inbox and telephone) responding to members requests and ideas.

Maintain an effective booking system for our events- updating attendance list and taking payments.

Maintain relationships with National Federation of WI's and correspond with 104 New Kings Road.

To manage the membership Communication System database (MCS) and ensure accurate recording of all membership information (not specific to Federation MCS Rep) and extracting report as required. Provide training as required for MCS workshops within the Federation.

Manage the Sharepoint System develop, cascade and train trustees and WI Officers in the use of the system.

Supervise the collation and distribution of our members monthly news letter (County News).

To keep the Federation Web Pages on the NFWI website up to date, relevant and engaging.

To manage the administration of our annual financial audit programme (delivered through our IFE Team).

Attend SCFWI Annual Meeting and Road Shows and external events to work as required.

Maintain the Federation filling system and archives.

Administrative service - County Chair and Board of Trustees



To undertake the timely preparation of papers and agendas for meeting.

To act as minute secretary to the Board of Trustees and Membership Committee. Prepare and disseminate minutes appropriately and follow up on action plans.

Support and advise the Board of Trustees on office matters and systems as needed.

To oversee the administration of all "Events" (co-ordinating volunteers, providing documentation and collating feedback etc).

To support and assist the County Treasurer.

To take an active role in monitoring and updating the Federation Facebook and Instagram account, with the Social Media Editor and Press and Publicity Officers support.

Facilities management.



To ensure the smooth day-to-day running of the building with regards to maintenance, repair, gardening and cleaning.

To be responsible for ensuring that regular servicing is carried out on machines, electrical equipment, computers etc.

Maintain office and kitchen supplies (stationery, paper, envelopes, tea, coffee etc)

Be a registered key holder for the County Office.

To oversee the security of the building.

To ensure that a safe working environment is maintained and comp0liant with Health and Safety guidelines throughout the building.

This is a summary of the main activities of the role and this post requires flexibility to undertake other duties not specified in this job description but compatible with the role or the department. We pride ourselves on being one big team and expect all Somerset Federation roles to provide occasional support in other areas of the business where skills are compatible.

Job Type: Part-time

Pay: From 23,288.00 per year
