Details:





Salary: 28,000 - 30,000 (pro-rated to part time)



Location: Remote



Part time positions: 4 hours per day, Monday to Friday.




About the role

:





As Finance & Operations Assistant, you will play a key role in the smooth running of our day-to-day financial activities as well as provide administrative support to some of our key operational processes. Reporting to the Financial Controller, you will support them with: Purchase invoice processing; administrative activities related to our Project Management System; Contractor renewal documentation and general financial and operational administration.




Responsibilities

:




Handle purchase invoice processing, including verifying supplier details, matching purchase orders and ensuring timely approvals and payments Chase and ensure completion of both employee and contractor timesheets to ensure timely and accurate payroll and project billing Monitor and manage staff time off within our Project Management System, including making necessary adjustments and ensuring accurate records for payroll, project billing and forecasting. To assist and work alongside the Administrative Manager to track and manage contractor renewal documentation, ensuring contracts are up-to-date and all necessary paperwork is issued and completed on time. Assist the Administrative Manager with coordinating background screening checks for new hires and contractors, including documentation collection, status tracking and chasing relevant stakeholders Assist with monthly sales invoicing, ensuring client invoices are accurate, sent on time, and properly recording in our accounting software. Assist with cashbook posting and payment runs, including recording bank transactions and preparing supplier payments as required. Support the year-end audit process by preparing schedules, gathering documentation and responding to auditor queries



Key Skills

:




Basic Accounting qualification or equivalent experience in a Finance or accounting support role Proficiency in Microsoft Excel and experience of using accounting software Strong attention to detail with a high level of accuracy Good organisational and time management skills Excellent communication skills Able to handle confidential and sensitive financial, employee and contractor information with discretion and integrity.
