Role Overview:



We are seeking a detail-oriented and proactive Fleet and Compliance Administrator to oversee the day-to-day administration of our vehicle fleet and ensure full compliance with legal, regulatory, and internal policies. Responsible for overseeing and coordinating the movement of goods, vehicles, and personnel to ensure timely and efficient delivery of services to our clients.

Roles and responsibilities include but are not limited to:



Maintain accurate records for all vehicles in the fleet, including registration documents, insurance, MOT certificates, service history, and fuel usage. Monitor transportation routes, track vehicle locations, and provide real-time updates to drivers and clients regarding delivery status. Liaise with drivers, warehouse staff, and other relevant stakeholders to ensure smooth and efficient operations. Maintain accurate records of transportation activities, including driver logs, fuel consumption, and vehicle maintenance schedules. Collaborate with the procurement team to ensure the availability of necessary resources, such as fuel, equipment, and personnel, to support transportation operations. Ensure all vehicles comply with UK regulations, including MOTs, tachograph calibration, insurance, and road tax renewals. Assist with Operator Licence (O Licence) compliance and ensure adherence to DVSA standards. Address any issues or concerns related to transportation services, including delays, accidents, or customer complaints, in a prompt and professional manner. Implement and enforce safety regulations and compliance standards to minimize risks and ensure the well-being of drivers and personnel. Schedule and coordinate vehicle servicing, inspections, and repairs to minimise downtime. Liaise with suppliers, workshops, and drivers to ensure timely completion of maintenance work. Assist drivers with vehicle-related queries, breakdown support, and accident reporting. Ensure driver checks, including licence verification, are completed in line with company policy. Analyze transportation data and performance metrics to identify areas for improvement and optimize operational efficiency. Monitor and report on fleet costs, including fuel, maintenance, and insurance. Stay updated on industry trends, regulations, and best practices to enhance transportation processes and maintain compliance with relevant laws and regulations. Support the implementation of health and safety policies related to fleet operations. Assist in the development and implementation of policies, procedures, and training programs to enhance the effectiveness of transportation operations and promote a culture of continuous improvement. Any other reasonable duties as required. Tasks may vary by site.

Skills:



Previous experience in transportation, logistics, or a related field preferred. Strong organizational and multitasking skills with the ability to prioritize tasks in a fast-paced environment. Excellent communication and interpersonal skills with the ability to interact effectively with drivers, clients, and internal stakeholders. Proficiency in using transportation management software and other relevant tools for scheduling, routing, and tracking purposes. Knowledge of transportation regulations, safety standards, and compliance requirements in the UK. Analytical mindset with the ability to interpret data, identify trends, and make data-driven decisions to improve operational performance. Flexibility to work outside regular business hours and respond to emergencies or unexpected changes in the transportation schedule. A proactive attitude with a strong commitment to customer service and satisfaction.
