We are seeking a detail-oriented and proactive Administrator to join our team. This role is essential in providing administrative support to our mechanical and electrical projects, ensuring that operations run smoothly and efficiently.
The ideal candidate will possess strong organisational skills, a solid background in office administration, and proficiency in various software applications.
Responsibilities
Maintain accurate records and documentation for all construction projects, ensuring compliance with company policies.
Prepare comprehensive operation and maintenance (O&M) manuals for completed projects.
Handle data entry tasks, including updating project databases and tracking project progress.
Assist with the preparation of reports and presentations using Microsoft Office and similar tools.
Manage correspondence via phone and email, demonstrating excellent phone etiquette and customer service skills.
Place and manage purchase orders for project materials and subcontractor services.
Organise project files and maintain an efficient filing system for easy retrieval of documents.
Collaborate with team members to facilitate communication between departments and ensure project deadlines are met.
Assist in the preparation and submission of prequalification questionnaires (PQQs) and invitation to tender (ITT) documents.
Collate customer feedback at project completion and support continuous improvement initiatives.
Generate project case studies showcasing completed works for internal and marketing use.
Ensure compliance with company policies, quality standards, and health & safety requirements.
Assist with document management for our ISO standards.
Requirements
Previous office experience is essential, with a strong emphasis on administrative roles within a construction or (ideally) the mechanical & electrical sector.
Proficient computer skills, including typing speed and accuracy, with expertise in Microsoft Office Suite (Word, Excel, PowerPoint) .
Experience with Xero or similar accounting software is highly advantageous, but not necessary.
Strong organisational skills with the ability to manage multiple tasks effectively while maintaining attention to detail.
Excellent clerical experience, including data entry and document management.
Demonstrated ability to communicate effectively over the phone and in writing, showcasing professional phone etiquette.
A proactive approach to problem-solving with the capability to work independently as well as part of a team.
