Role Summary
As
Front of House & Admin Support
, you will be the welcoming face of Todds Leap and the backbone of our admin and booking operations. From greeting guests and managing bookings to processing payments and supporting internal departments, you'll keep everything running smoothly and efficiently.
You'll also play a vital role in coordinating training activities across the centre, helping our team stay sharp and up to date.
Key Responsibilities
Front of House
Greet visitors with a warm, friendly welcome
Manage check-ins and direct guests as needed
Answer phone calls, emails, and messages on social media platforms
Keep the reception area clean, tidy, and presentable
Bookings & Customer Service
Handle daily enquiries and take new bookings
Send booking confirmations and event details to customers
Liaise with kitchen, accommodation, and activity teams to share up-to-date booking info (arrival times, meal requirements, special requests, etc.)
Process and take customer payments
Administration & Finance
Issue invoices for group and individual bookings
Upload invoices and receipts using Sage
Maintain accurate records of payments and bookings
Use Excel and other office software to track admin tasks
Training Coordination
Schedule and book external trainers and internal training sessions
Prepare relevant training paperwork and records
Track and update training logs
General Office Support
Maintain organised and up-to-date records and filing systems
Support operational team ahead of group arrivals
Post updates or event information on social media (as needed)
Help with any additional admin or operational tasks as required
Requirements
Essential:
Excellent communication and customer service skills
Organised, proactive, and confident working in a busy environment
Professional phone and email etiquette
Comfortable using Microsoft Office (Excel, Outlook, etc.)
Willingness to learn and support other departments
Desirable:
Experience in a similar admin or office-based role
Knowledge of Sage accounting software or similar
Familiarity with booking systems or hospitality CRM tools
Social media confidence (Facebook, Instagram, etc.)
