Working directly with the Communications and Fundraising Manager, the Fundraising Coordinator will play an integral role in supporting Woodview's growing fundraising and communications efforts. The ideal candidate will research, coordinate, and apply for grants that support Woodview's programs, managing grant deadlines, working with program leads, and gathering required documentation.



The role involves community outreach and representing Woodview at community events. The Fundraising Coordinator will support the planning and coordination of Woodview's signature fundraising events (Walk & Roll for Woodview and the Family Fall Fair) by managing key logistics and event details.



The Fundraising Coordinator will have the opportunity to contribute creatively by helping to craft compelling content for social media, newsletters, and other communications, while also maintaining accurate and up-to-date donor records and managing key administrative tasks. Additionally, the individual will support our donor recognition initiatives and collaborate with the finance team to track grant budgets, ensuring compliance with funding requirements.


KEY RESPONSIBILITIES

will include, but are not limited to, the following:

Grant Research and Application Coordination

Conduct thorough research on available grants from foundations, municipalities, regions, and other funding sources. Help identify and assess grant opportunities that align with Woodview's mental health and autism services for children, youth, and adults. In collaboration with program teams and under the strategic direction of the Fundraising & Communications Manager, lead the grant application process -- including drafting and submitting applications and ensuring all deadlines are met. Maintain a detailed grants calendar, tracking application windows, submission deadlines, and follow-ups for ongoing or new opportunities.

Collaboration and Reporting

Work closely with the Communications and Fundraising Manager to develop compelling Cases for Support, grant proposals, and Letters of Intent to funders. Gather and prepare essential documents, such as financial statements, project goals, program data, and budgets, to support grant applications. Provide follow-up support for grant-funded programs, ensuring timely submission of progress reports and monitoring deadlines for reporting to funders. Communicate recognition and reporting requirements to relevant staff, including Program Managers, to ensure all funder expectations are met.

Event Planning

Support the planning and execution of fundraising and community events, including committees, scheduling, coordinating vendors, and managing logistics from setup to teardown. Liaise with vendors to secure quotes and ensure the timely delivery of event materials. Represent Woodview at events (including third-party events), engaging with attendees, sponsors, and community partners to strengthen relationships and increase visibility. Order promotional (swag) items as needed and liaise with vendors, track inventory. Oversee volunteer recruitment and orientation for fundraising events and initiatives.

Content Creation & Design

Apply strong graphic design skills to develop engaging digital and print materials for fundraising, donor recognition, and community outreach, ensuring alignment to brand standards. Contribute high-quality visual and written content across communications channels -- including social media, website, newsletters, and event promotions -- to support fundraising goals. Assist in donor communications and recognition activities, including coordinating photo opportunities, public acknowledgments, and branded materials.

Data Management and Administration

Maintain accurate and up-to-date data entry of donor, sponsor, and funder information in the CRM system, ensuring all records are organized and accessible. Manage administrative tasks such as processing vendor invoices, reconciling expenses monthly, and tracking memberships renewal dates (e.g., Chamber of Commerce). Assist with donor recognition efforts, including direct mail campaigns and personalized acknowledgments. Create and maintain booking systems and forms (e.g., Raisely, Eventbrite, JotForm). Develop and maintain licensing (AGCO/Lottery Raffles) compliance and financial tracking.

Fundraising Strategy and Budget Coordination

Assist in planning and executing year-round fundraising initiatives in collaboration with the fundraising committee and senior leadership. Evaluate internal and third-party fundraising requests to ensure alignment with Woodview's overall fundraising plan. Provide logos and brand guide to third-party events, ensuring brand consistency. Participate in planning and strategy sessions to contribute to long-term fundraising and development goals. Coordinate with the finance department to track grant budgets, ensuring compliance with funder requirements and alignment with financial reporting standards. Coordinate as needed with the Executive Assistant for tax-receipting and auto-generated letters.

QUALIFICATIONS & EXPERIENCE:

Post-secondary education in fundraising, communications, marketing, or a related field, or equivalent experience. 2-3 years of experience in fundraising, development, or communications within a nonprofit or charitable organization. Demonstrated success in grant writing, including drafting, editing, and submitting applications and managing deadlines. Experience coordinating fundraising or community events, including vendor and volunteer coordination. Ability to collaborate effectively with diverse stakeholders, including youth, front-line staff, managers, leadership, and board members. Strong graphic design skills and proficiency in Canva, Adobe Express, or similar platforms, with an eye for layout and brand consistency. Highly organized and detail-oriented, with strong problem-solving skills and the ability to prioritize tasks effectively in a fast-paced environment. Confident communicator who enjoys networking and community engagement. Excellent writing, editing, and research abilities. Experience with donor databases or CRMs (e.g., Keela, Raisely, or similar). Proficiency in Microsoft Office Suite and comfort using digital fundraising or project tools. Commitment to adhering to the Fundraising Code of Ethics and dedication to Woodview's vision, mission, and values. Flexibility to attend evening or weekend events as needed. French as second language is asset

Valid driver's license and daily use of own vehicle.
