Thanet Crane Hire Ltd is a small, family-run business with a friendly and supportive working environment. We are currently looking to recruit a Fleet Maintenance and Hire Desk Administrator to join our close-knit team.
This is a varied, hands-on role supporting fleet maintenance, hire desk operations and general administration.
Working hours
Monday to Friday
Either 8:00am - 4:30pm or 9:00am - 5:30pm
Key Responsibilities
Fleet Maintenance & Administration
Ordering parts, chasing deliveries, checking packing slips and issuing purchase orders
Managing maintenance schedules including servicing, greasing, MOTs and LOLER inspections
Maintaining accurate fleet documentation (logbooks, certificates, vehicle files)
Recording vehicle defects and reports and creating jobs for the fitter
Allocating maintenance invoices to the correct jobs
Workshop & Fitter Liaison
Liaising with the fitter regarding repairs, parts and progress updates
Chasing reports and ensuring all work is correctly documented
Fleet & Compliance
Managing vehicle tax and Penalty Charge Notices
Coordinating vehicle tracking systems with third-party providers (installations and removals)
Managing fuel receipts from drivers and checking against invoices, investigating discrepancies
Accounts & Systems
Posting maintenance and service purchase invoices to Sage 50
Approving invoices for payment once parts are received and work completed
Hire Desk & Operations Support
Booking jobs onto the planning board
Sending hire contracts and purchase orders
Daily coordination with the Operations Director to meet customer requirements
Day-to-day support of the hire desk and transport team
About You
Previous experience in an administrative role (fleet, transport or workshop experience advantageous but not essential)
Knowledge of vehicle maintenance and planning would be beneficial
Experience using Sage 50 is an advantage
Confident using Microsoft Office
Strong attention to detail with good organisational skills
Positive, flexible and proactive attitude
Good customer service and communication skills
Fluent English
Right to work in the UK
Own transport required due to location
