As HR & Compliance Administrator at DMC, you will play a central role in supporting

the HR function to ensure robust compliance, high-quality administration, and

effective workforce governance across the organisation.



You will support the full employee lifecycle, with particular focus on onboarding,

workforce compliance, employee records, and audit readiness.



Working closely with HR colleagues, operational leaders, and senior stakeholders, you will help ensure

DMC remains compliant with UK employment law, CQC requirements, GDPR, and

internal governance standards.



The Role





As HR & Compliance Administrator at DMC, you will play a central role in supporting the HR

function to ensure robust compliance, high-quality administration, and effective workforce

governance across the organisation.



You will support the full employee lifecycle, with particular focus on onboarding, workforce

compliance, employee records, and audit readiness.



Working closely with HR colleagues, operational leaders, and senior stakeholders, you will help ensure DMC remains compliant with UK employment law, CQC requirements, GDPR, and internal governance standards.



This role also has a strong systems and data focus. You will help manage and optimise HR

systems including Planday (HRMS) and Pinpoint (ATS and onboarding platform), ensuring

data accuracy, consistency, and effective reporting. You will contribute to ad hoc HR and

compliance projects, process improvement initiatives, and system enhancements, helping

to strengthen HR operations as the organisation grows.

Key Responsibilities





The duties below apply across all DMC entities, including DMC Healthcare, DMC Radiology


Reporting, and DMC Primary Care. Please note that this job description is a general


guidance and may be subject to change based on organisational needs and priorities.

Main Duties, but not limited to:



HR compliance & workforce administration


Manage and monitor pre-employment compliance processes in line with UK employment law, NHS expectations, and CQC requirements, including DBS checks, right-to-work verification, professional references, and mandatory documentation. Maintain accurate, secure, and audit-ready employee records within Planday (HRMS) and Pinpoint (ATS and onboarding platform), ensuring compliance with GDPR and internal governance standards. Proactively track workforce compliance data, identifying gaps, initiating follow-up actions, and escalating risks where required. Support the review, update, and implementation of HR policies and procedures, ensuring documentation remains current and aligned with regulatory and organisational requirements. Work in partnership with DMC's HR legal advisers to support ongoing employment cases and help build manager capability through guidance and training on how to engage effectively with HR support.

Onboarding & staff lifecycle support

Coordinate and oversee onboarding for new starters, ensuring all required checks, documentation, and system updates are completed accurately and on time. Manage employee records throughout the employment lifecycle, including contract changes, right-to-work renewals, visa monitoring, and leaver documentation. Handle employment verification and reference requests in line with GDPR and organisational policy. Manage archiving and record retention processes to ensure audit readiness and regulatory compliance.

HR Operations, reporting & audit

Act as a key point of contact via the HR inbox, responding to employee queries professionally and sensitively, and escalating matters appropriately. Produce regular compliance and workforce reports, tracking areas such as mandatory training, DBS status, right-to-work, and onboarding progress. Support internal and external audits, inspections, and reviews by preparing evidence packs, maintaining trackers, and following up on agreed actions. Apply an analytical approach to HR and compliance data, identifying trends, risks, and improvement opportunities. Provide HR and compliance information to support bids and tenders where required, ensuring accuracy, timeliness, and appropriate handling of sensitive data and confidentiality.

Regulatory compliance & healthcare standards

Support DMC's ongoing compliance with CQC standards by maintaining workforce and governance documentation and supporting inspection readiness. Work collaboratively with HR, governance, and operational teams to ensure workforce processes align with NHS standards and best practice. Assist with quality assurance activities related to workforce compliance and governance.

Process improvement & systems support

Contribute to HR-led improvement initiatives, supporting the development of more efficient, consistent, and scalable HR processes. Support the effective use and optimisation of Planday and Pinpoint, ensuring data accuracy and consistent application across the organisation. Assist with the development and maintenance of HR process documentation, guidance, and standard operating procedures to support BAU delivery


Skills, Knowledge and Expertise



Essential

CIPD Level 3 qualification or higher. Strong IT literacy, with confidence using HR systems and digital tools to manage, audit, and report on workforce data. High attention to detail, with the ability to maintain accurate, audit-ready records that support assurance and inspection readiness. Clear, professional communication skills, with the credibility and sensitivity to work effectively with clinical and non-clinical staff at all levels. Proactive and organised, with an analytical approach to identifying compliance gaps, following through actions, and escalating risks appropriately. Experience in HR administration or workforce compliance within the NHS/ healthcare setting. Working knowledge of UK employment law and compliance requirements.

Desirable

Experience in CQC compliance & inspections, or "well-led" assurance activity. Experience with onboarding and workforce management systems, Planday and/or Pinpoint desirable
