Purpose:
The HR & UKG System Administrator role at Walker Logistics is designed to drive operational excellence in HR processes by spearheading the rebuild and optimization of the UKG HR system while delivering high-quality administrative support. This dual-purpose position ensures the seamless integration of technology and people management, enhancing data integrity, streamlining processes, and fostering a positive employee experience. By leading a critical system transformation and championing staff welfare, the role plays a pivotal part in shaping the future of HR operations, ensuring compliance, efficiency, and a supportive workplace culture.
Duties & Responsibilities:
UKG System Rebuild & Ongoing Administration (Primary Focus):
Conduct a full audit and update of the company Personnel Files, ready for digital migration.
Lead the comprehensive rebuild and optimisation of our UKG (formerly Kronos) HR system. This is a critical project to restore data integrity, rectify manipulated data, and ensure the system operates as intended across all modules.
Take full ownership of the system's re-architecture, working systematically to streamline processes and enhance its robust functionality for everything from recruitment, automated employee onboarding, and digital staff files to payroll, time and attendance (e.g. clocking in/out), reviews, note-taking, disciplinaries, and grievances.
Exercise a high degree of autonomy, and serve as the primary system administrator for UKG, responsible for ongoing maintenance, troubleshooting, user access management, system updates, and driving continuous improvement, while seeking guidance and support from senior management and leveraging our service contract with UKG directly.
Deliver comprehensive training programs for all staff who interact with the UKG system, ensuring correct usage, improving data input quality, and fostering efficiency in day-to-day operations.
Manage all standard HR administrative tasks, including maintaining accurate employee records, preparing HR-related correspondence, and ensuring compliance with company policies and relevant legislation.
Act as a first point of contact for employee queries, providing compassionate guidance and support on HR policies and procedures.
Assist with and meticulously take notes during performance management meetings, ensuring proper documentation and adherence to company processes.
Champion staff welfare initiatives, actively demonstrating a "people manager" approach by being present, empathetic, and supportive for the team.
Administer staff reward programmes, including diligently tracking birthdays to ensure all employees receive a birthday card, and coordinating "random acts of kindness" to foster a positive workplace culture.
Support the Head of Projects and wider team with various HR-related projects and initiatives as required.
Key Performance Indicators (KPIs) for this Role:
o 100% completion of digital staff files within UKG.
o 100% completion of probationary reviews tracked and managed through the UKG system.
o 100% Right to Work compliance across all employee records within UKG.
o 100% of holiday requests processed through the UKG system.
o 85% staff information compliance and accuracy within UKG.
o 85% of shifts successfully clocked in and out via the UKG time and attendance module.
o 85% of relevant HR tasks successfully tracked and managed through UKG.
Skills & Experience:
o Strong administrative background with a proven track record of meticulous attention to detail and data accuracy.
o Demonstrable experience with HR Information Systems or large-scale database administration is highly desirable. Direct experience with UKG, Chronos, Workday, or similar comprehensive HR platforms is a significant advantage.
o A highly analytical and logical mindset, with the ability to diagnose complex system issues, identify root causes, and implement effective, systematic solutions.
o Exceptional organisational and time management skills, with the ability to manage a significant project alongside ongoing administrative duty independently.
o Excellent communication and interpersonal skills, capable of building rapport with employees at all levels and confidently delivering system training.
o High degree of self-sufficiency and proactivity, with the confidence to lead significant projects and manage workload autonomously.
o Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
o A genuine passion for people management and fostering a positive employee experience.
o Discretion and sensitivity when handling confidential information.
o If required, ability to bring transferable skills from another industry and adapt quickly to new systems and processes.
