Job Purpose:


We are looking for a highly organised and motivated HR and Training Assistant to provide vital support to the Human Resources and Training departments. This position plays a crucial role in facilitating the smooth operation of HR processes and training programmes by delivering administrative support, coordinating learning activities, and maintaining accurate employee data.

Key Responsibilities:



HR Administration:



Support the recruitment process by publishing job advertisements, arranging interviews, corresponding with candidates, and issuing offer letters.

Assist with employee onboarding and offboarding, including preparing documentation, facilitating induction sessions, and conducting exit interviews.

Keep HR records current and accurate across both digital systems and paper files.

Support the administration of employee benefits and ensure systems are kept up to date.

Perform general administrative duties for the HR team, such as filing, generating reports, taking minutes, and managing correspondence.

Provide support for employee relations by drafting documentation and coordinating meetings.

Assist in driving occupational health and wellness for the business.

Provide advice support and guidance to managers around absent management, disciplinary, grievance and performance management issues ensuring full compliance with employment legislation.

Arrange and manage appointments and referrals for occupational health services as required.

Training Support:



Organise internal and external training events, including scheduling sessions, booking venues, and managing attendee lists.

Track and maintain employee training records, ensuring alignment with development plans and compliance standards.

Assist in the creation and upkeep of training materials and resources.

Collaborate with line managers to identify training requirements and liaise with providers to book courses and collect feedback.

Support the evaluation of training programmes through employee feedback and performance metrics.

Compliance and Reporting:



Ensure HR and training activities adhere to legal and organisational policies.

Assist in preparing regular HR metrics and training data reports.

Track and monitor employee absences and annual leave.

Keep on top of deadlines related to performance appraisals, mandatory training, and probation reviews.

Provide initial HR guidance to staff and managers, escalating more complex issues when necessary.

Help with distributing internal communications concerning HR and training initiatives.

Skills and Experience Required:



Ideally you will hold a CIPD qualification to minimum level 3 or have experience in an HR administration role with minimum 3 years.

Strong organisational and time management abilities.

Excellent verbal and written communication skills.

Maintain a high level of discretion when handling confidential matters.

Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Experience with HR software systems is beneficial.

Strong interpersonal skills and professional demeanour.

High attention to detail with the ability to juggle multiple responsibilities.

Qualifications:



CIPD Level 3 qualified or working towards it (desirable), or background in training coordination or L&D.

GCSEs or equivalent in English and Maths (essential).
