Established in 1956, Stephens Industries manufactures a wide range of Industrial products and liners supplying markets as diverse as Construction, Agriculture, Infrastructure, Nuclear, Automotive, Industrial and other sectors. Manufacturing from its two main sites in the UK we are looking for a dynamic person to join the team at our Corsham Head office facility.
As an Internal sales / Purchasing administrator you are the face of the company dealing with our customers and suppliers daily.
The role will be very varied and task orientated but will offer great opportunities for you to either start or grow your business career in a rapidly growing organisation.
Full training will be provided and the role offers great scope for personal development and progression within the business.
Responsibilities
Provide administrative support to the sales team, including managing schedules, preparing reports, and maintaining records.
Assist in the preparation of sales presentations and proposals for clients.
Process sales orders and ensure timely delivery of products or services.
Maintain accurate customer databases and update records as necessary.
Liaise with clients to address inquiries, resolve issues, and provide exceptional service.
Collaborate with other departments to ensure seamless communication and workflow.
Monitor inventory levels and assist in stock management as needed.
Conduct market research to support sales strategies and identify new opportunities.
INITIAL MAIN DUTIES - SALES ADMINISTRATION
As the face of the company, you will be responsible for
Handle incoming enquiries, through fielding calls ensuring information is taken and is accurate and ensuring customers and directed to the appropriate colleagues.
Preparing information for costings.
Prepare and send quotations to customers.
Follow up quotations with customers.
Process Sales Orders and Works Orders onto the company system.
Liaise with customers on delivery times.
Checking prices and contracts are up to date.
Supporting the sales force with general operations to help reach the team's objectives.
Communicating internally important feedback from customers.
Dealing with and responding to high volumes of emails.
FUTURE AND DEVELOPING DUTIES - PURCHASING
We expect the role to develop into a dual role of Internal Sales and Purchasing.
As purchasing administrator, the role would encompass all things purchasing within the business
Keeping track of multiple tasks, purchase orders, and supplier communications efficiently.
Securing the best deals with vendors while maintaining strong relationships.
Monitoring stock levels and ensuring timely replenishment.
Interpreting purchasing trends to optimise costs and improve procurement strategies.
Ensuring accuracy in purchase orders, invoices, and supplier agreements.
Ensuring ERP system data is accurate and cleansed on a regular basis.
Addressing supplier issues, delays, and discrepancies effectively
Liaising with quality on all issues that occur and ensuring supplier complaints are dealt with effectively and efficiently
QUALIFICATIONS, SKILLS and COMPETENCES
This role would suit a school leaver or graduate who is looking for their first start in a business career or alternatively someone with relevant experience looking to expanding their knowledge and skills
A-Levels, BTEC qualification or Degree
Good MS Office Skills
An ability to show and use initiative, effectively prioritise and organise work
Good verbal and written communication skills
Outgoing personality / confident
Reliable
Team player
Knowledge of MS NAV, ERP system is desirable but not essential as training is provided
PACKAGE
Salary dependent on experience, Full-time 38 hours per week
Monday - Thursday 08:30 - 17:00, Friday 08:30 - 15:00
30 days holiday (includes Bank Holidays)
