We are looking for a proactive and highly organised IT Coordinator to provide essential administrative and project support to the IT team. This role is central to ensuring smooth day-to-day operations, supporting key projects, and maintaining accurate records across assets, licenses, and supplier relationships. The ideal candidate will be detail-oriented, a confident communicator, and comfortable juggling multiple priorities in a fast-paced environment.
Key Responsibilities:
Team & Meeting Support
Organise meetings, prepare agendas, and capture minutes/actions.
Coordinate team events and manage travel arrangements.
Collate and distribute IT team updates for internal communications.
Administration & Operations
Provide general administrative support to the IT team.
Manage deliveries, orders, and log equipment as assets in the ITSM tool.
Complete regular equipment audits and maintain accurate stock levels.
Maintain up-to-date records of licenses and IT assets.
Support the coordination of the annual trainee onboarding/rotation process.
Policy & Process Support
Ensure IT policies are reviewed and updated as required.
Suggest process improvements and contribute innovative ideas to enhance team efficiency.
Supplier & Financial Coordination
Maintain positive working relationships with third-party suppliers.
Provide support with supplier orders, billing queries, and renewals.
Project Support
Assist the PMO - and wider IT team - with ad-hoc project tasks and coordination.
Skills & Experience
Comfortable nudging, reminding, and coordinating across the team to keep projects and tasks moving.
Strong organisational and time-management skills with the ability to prioritise effectively.
Excellent written and verbal communication skills.
High attention to detail with accurate record-keeping.
Confidence using IT tools and systems (experience with ITSM tools or asset management databases is desirable but not essential).
Ability to build positive working relationships with colleagues and external partners.
Proactive problem-solver who enjoys suggesting improvements.

Person Specification:
Technical
Organised and methodical
A good understanding of business productivity software packages e.g. M365 suite.
Excellent customer service skills with a strong desire to help people.
A keen eye with great attention to detail.
Self-motivation is essential.
Desirable
Knowledge of Project Management software e.g. Monday.com.
Relevant experience in the legal sector / professional services is preferred but not essential.
Communication & Organisation
Excellent written and verbal communication skills.
Proven ability to multi-task and prioritise tickets and balance this with project work.
A high level of organisational skills to effectively manage issues in an office where urgent issues can escalate quickly and the ability to take an overview of all tickets and prioritise the most important issues and update those outstanding.
General
Relevant qualification at degree level or equivalent.
