Job Summary


We are seeking a motivated and detail-oriented Junior Office Administrator to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing essential administrative support. This position is perfect for individuals looking to develop their skills in a professional environment while contributing to the overall efficiency of the organisation.

Key Responsibilities



Answer and direct phone calls to the appropriate departments or individuals. Ensure the office environment remains clean and tidy. Manage incoming and outgoing mail, deliveries, and courier services. Monitor and maintain office supplies, including kitchen essentials, and place orders when required. Assist with general enquiries and provide office support to staff and visitors. Provide administrative support to the Operations team as needed, ensuring smooth day-to-day operations. Assist with general office tasks, including filing, documentation, and communication with suppliers and contractors. Assist in the preparation and formatting of O&M (Operations & Maintenance) manuals for projects. Maintain and manage the project database, ensuring all relevant information is up-to-date and easily accessible. Take minutes at Project meetings, ensuring accurate records of discussions and actions. Support the completion of RAMS (Risk Assessment and Method Statements) and Install packs. Assist in organising and managing project related documentation Coordinate with the team to ensure project deadlines are met and all required documentation is prepared on time. Manage and maintain project managers' diaries, ensuring all meetings and deadlines are clearly scheduled. Provide assistance in organising and maintaining the filing system for project-related paperwork, both physical and digital. Perform general office duties such as filing, photocopying, and preparing documentation for meetings. Assist with project-related research and document preparation as required. Provide other administrative support and ad hoc tasks as needed by the team.

Key Skills and Qualifications



Proven experience in an administrative support role Excellent organisational and time management skills, with the ability to prioritise tasks and manage multiple responsibilities. Strong verbal and written communication skills. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Ability to maintain confidentiality and handle sensitive information. Strong attention to detail and accuracy, particularly with document management and minute-taking. A proactive attitude toward tasks and challenges.

Desirable Attributes:



Previous experience in a construction, engineering, or operations-related environment. Knowledge of project management documentation and procedures, including O&M manuals, RAMS, and Install packs. Familiarity with document control systems and project databases.

Pay: Up to 25,000.00 per year
