As our portfolio continues to expand, we are seeking a proactive and highly organised

Lettings & Office Administrator/Accommodation Operations Coordinator

to support the day-to-day running of the business.

Key Responsibilities



Office Administration & Support

Provide administrative support to all staff members Handle general telephone and email enquiries, directing matters to the appropriate department Manage filing, correspondence, record-keeping and general office administration Receive and log post and deliveries, notifying relevant team members Support general office housekeeping duties

Property Operations & Maintenance

Arrange reactive and planned maintenance works Liaise with contractors to ensure works are completed to specification Conduct routine property inspections and condition checks Assist with summer turnaround periods, coordinating cleaners, maintenance teams and waste removal Manage master and tenant keys, including accurate key records and key cutting

Utilities & Essential Services

Set up and manage utility accounts (water, energy, council tax, internet, etc.) Arrange installations for new and existing properties Monitor and record utility usage across the portfolio Coordinate mail management related to properties Assist with insurance and mortgage renewals

Compliance & Safety

Support management of all mandatory safety certificates Arrange compliance inspections and contractor works Maintain compliance records and documentation Carry out fire alarm checks, fire panel testing and related safety testing Assist with council inspections and general compliance administration

Tenant & Lettings Support

Respond professionally to tenant and applicant enquiries Conduct property viewings when required Prepare and issue tenancy and guarantor agreements Secure and process tenancy deposits in line with current legislation Carry out check-in and check-out inspections

Marketing & General Support

Assist with social media and marketing activity for available properties Support wider portfolio operations and ad-hoc tasks as required

Skills, Experience & Attributes

Strong organisational and time-management skills Excellent attention to detail and record-keeping ability Confident and professional telephone and written communication Comfortable managing multiple tasks and shifting priorities IT-proficient, with good working knowledge of Microsoft Word and Excel Proactive, reliable and willing to assist where needed Able to work independently and as part of a team Friendly, approachable and professional manner when dealing with tenants and clients

Experience

Administrative experience preferred (desirable but not essential) Previous experience in property, student accommodation or lettings is advantageous but not required -- training will be provided

Other Requirements



Full UK driving licence and access to a car Fluent English

Do you have at least one year of administrative or office-based experience? Are you confident using Microsoft Word and Excel in a professional environment? Are you comfortable managing multiple tasks and changing priorities in a fast-paced role? Are you comfortable speaking with tenants, contractors and clients by phone and email? Are you willing to carry out on-site property visits, inspections and basic safety checks as part of your role? Are you comfortable working both independently and as part of a small team? Are you able to start work within the next 4 weeks?
