Job Summary
We are seeking a proactive and detail-oriented sales and office administrator to support both our technical and commercial operations. This dual-role position is pivotal in ensuring smooth internal processes, efficient client interactions, and strong customer retention. The successful candidate will work closely with the General Manager, Head of Commercial, technical team, and other departments to maintain high standards of service and operational excellence.

Key Responsibilities
General Administration
Provide administrative support to the technical team, including scheduling, documentation, and communication.
Manage and maintain client records, contracts, and service agreements.
Assist with coordination of client projects and service requests.
Handle incoming calls and emails, triaging technical queries appropriately.
Monitor and manage office supplies, equipment and servicing.
Prepare reports, presentations, and other documents as needed.
Support onboarding processes for new clients and employees.
Ensure compliance with company policies and procedures.
Assist with billing and invoicing processes.
Perform other administrative tasks as required.
Coordinate courier logistics for the dispatch and delivery of client equipment.
Sales Administration
Monitor and manage client contract renewal reminders.
Schedule meetings for the Head of Commercial and support customer retention initiatives.
Process and track orders for client equipment and licences
Track sales opportunities and follow up on warranty expirations.
Generate and distribute monthly sales reports.
Liaise with suppliers to ensure competitive pricing and optimal deals.
Monitor software licence usage and make necessary adjustments.
Ensure seamless onboarding and offboarding of clients.
Contribute to company social channels with updates and service offerings.
Conduct bimonthly client audits and manage asset tracking.
Contact clients ahead of renewals to schedule account review meetings.
Manage pre-pay client reports and contract storage/alerts.

Skills & Experience
Proven experience as an administrator or in a similar role, preferably within the telco/IT/MSP space.
Strong organisational and multitasking skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite and CRM systems.
Familiarity with IT service management tools is a plus.
Ability to work independently and collaboratively across teams.
High attention to detail and a proactive attitude.
Full UK driving licence required.
