North Property Group are looking to recruit a Lettings Co-Ordinator to join our fast paced and rapidly growing lettings department. This role can be based in either Leeds City Centre or Manchester City Centre.
Purpose of the role
We are looking for a highly organised and detail-focused Lettings Co-Ordinator to oversee the tenancy progression process from the point an application is received through to tenant move-in.
This role is central to ensuring all compliance, referencing, and administrative tasks are handled accurately and efficiently, delivering a seamless move-in experience for tenants and landlords.
Your focus will be the legal, compliance, and administrative responsibilities involved in tenancy progression.
Key Responsibilities
Progress tenancy applications from offer stage through to successful move-in.
Carry out full tenant referencing, including;
Employment checks and affordability assessments.
Previous landlord references.
Right to Rent (R2R) checks, including collection of ID and proof of address.
Ensuring all applicants meet our strict criteria before move-in.
Manage guarantors where required:
Obtaining details and references.
Preparing and arranging signing of guarantor agreements.
Collect and verify first month's rent and deposit payments, ensuring cleared funds before move-in.
Prepare and issue tenancy agreements (ASTs) and related documentation.
Register deposits and ensure compliance with prescribed information and deadlines.
Arrange and chase inventories, check-ins, and check-outs.
Coordinate key management:
Ensuring sufficient sets of keys are available.
Organising key cuts where required.
Managing key release forms at handover.
Ensure tenants are moved in only when all checks, compliance, and legal obligations are satisfied.
Chase references and payments proactively to prevent delays.
Maintain accurate and up-to-date tenancy records in GoodLord (essential).
Liaise with landlords, tenants, and internal teams to deliver an efficient and professional service.
Key Requirements
Minimum 2 years' lettings experience (essential).
Strong working knowledge of GoodLord tenancy progression software (essential).
Highly organised, detail-oriented, and able to manage multiple cases at once.
Strong communication and interpersonal skills for liaising with tenants, guarantors, and landlords.
Proactive and results-driven approach, with the ability to chase and resolve matters quickly.
Confident decision-making to ensure no tenant is moved in without full compliance.
