Job Description

Surrey Family and Mediation Services (SF&MS) is a charity based in Guildford, supporting people to reach agreement on practical issues that arise from separation or divorce such as those involving children, property and finances. The Mediation Administrator is a vital role in ensuring the smooth and effective running of the mediation service.

The minimum hours for this role will be 9am until 4pm, Wednesday to Friday. You may also be required to cover annual leave where possible.

The overall purpose of the role is to promote mediation and actively encourage clients to take up the opportunity to mediate with SFMS. The Mediation Administrator is to have contact with clients at all stages of their mediation journey, and to manage their case data using a specialised database system, ResolveIT. Liaising with mediators and other external agencies as required, the Mediation Administrator will ensure that all details are accurate and up to date, as well as contributing to the daily administration and support of the charity.

The role can be conducted primarily from home, but both administrators are required to attend staff meetings and trainings in the Leatherhead and Guildford offices in person when required by management.

Main duties involve:

Answering telephone calls and deal with enquiries, providing guidance and information as required Forwarding communication to clients on behalf of management Processing new referrals, booking in MIAMs and assessing client willingness to mediate Managing appointments, liaising with mediators and clients Saving relevant email correspondence to the cloud filing system Invoicing clients and managing the payment process via Prommt Complying with all statutory requirements (e.g. Health and Safety) and all SFMS internal policies and good practice procedures Attending and participating in mediators or other staff meetings as and when required Supporting management and mediators to develop new business opportunities, including liaising with potential partners, e.g. booking in pro bono work with CAB, sending newsletters out to schools and family centres etc. Any other duties as shall reasonably be requested by management
