Job summary:
Supporting the surgery as first port of call for patients to access GP services and promoting positive image. Assisting with smooth running of reception and liaising with internal and external NHS teams
Job responsibilities:
1. Check doctors' rooms and prepare internal mail and samples for collection.
2. Deal with all internal and external mail via post/ email.
3. Carry out all reception duties which include answering the telephone, dealing with general enquiries, booking appointments, explaining surgery procedures and filtering calls to Doctors, nurses etc.
4. Ensure messages from emails and other organisations are dealt with
5. Use the clinical systems i.e. appointments, consultation manager, and Docman.
6. Provide patients with laboratory results as requested by GPs
7. Arrange Hospital transport as and when required.
8. Deal with requests for home visits.
9. Explain registration procedures to new patients, check forms are completed correctly and check patients photo ID and address details.
10. Process patient registrations as per protocol
11. Take messages for doctors, nurses, and midwifes and send a task if appropriate.
12. File correspondence and reports into patient's A4 record folders.
13. Process Emis and Docman tasks from GPs
14. Collate patients' notes for summarising ensuring they are in date order.
15. Assist with booking post-natal and childhood immunisation appointments
16. Be fully aware of where emergency drugs and equipment such as the defib are located.
17. Maintain supplies of stationery in the reception area.
18. Ensure that the reception and waiting room areas are tidy at the end of shift and that information regarding unresolved problems is available for incoming colleagues.
19. Undertake to preserve the confidentiality of the patients and all matters concerned with the Practice.
20. Evening staff to secure the building at night ensuring that all windows are shut, blinds down, computers logged off and doors locked before setting the security alarm.
21. Work with and directly assist the Practice Manager and Assistant PM with designated tasks.
22. Attend educational courses, training courses, lectures and seminars that relate to your job, and the objectives of the Practice, when instructed.
23. Complete mandatory training on Bluestream e-learning platform
24. Be prepared to assist in other areas of the Practice when circumstances dictate (e.g. sickness, holidays etc) to enable the Practice to deliver all necessary medical services to its patients.
25. Recognise that the Practice Manager acts for, and with the full authority of all the Partners.
24. Book appointments at Mid Hampshire Healthcare Hub.
25. Process application for Patient Access
26. Register new patients on EMIS.
27. Assist reception team with cover for holiday and sickness leave.
28. Support Prescription Team with processing repeat prescriptions and dealing with patient queries
To meet the changing needs and development of the Practice it may be necessary from time to time, to amend and revise your job description. Changes will comply with current procedures and regulations. You will be consulted if changes become necessary.
