Job Description

Main Responsibilities:

Referral Management: Process and manage patient referrals to specialists, ensuring timely and accurate completion of all necessary documentation. Correspondence: Draft, type, and send patient letters, including appointment confirmations, medical reports, and referrals, ensuring accuracy and confidentiality. Patient Records: Maintain accurate and up-to-date patient records, both electronic and paper-based, in compliance with data protection and confidentiality regulations. Appointment Scheduling: Coordinate and schedule patient appointments, including liaising with patients and healthcare providers to ensure efficient use of time.



Telephone and Email Communication:

Answer telephone calls, emails, and other inquiries from patients and external organisations promptly and professionally. Liaising with External Agencies: Communicate with hospitals, clinics, and other healthcare providers to arrange tests, consultations, and follow-up care for patients. Administrative Support: Provide general administrative assistance as required, including filing, organising patient documents, and supporting the team with other clerical tasks. Ad-Hoc Tasks: Assist with other duties such as covering for colleagues on annual leave or sickness, supporting special projects, and any additional tasks as requested by management.



Key Requirements:

Typing Speed: A minimum of 60-80 words per minute, with excellent accuracy, to handle the fast-paced nature of the role. Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with patients, healthcare professionals, and external agencies. Organisational Skills: Strong attention to detail, ability to multitask, prioritise tasks, and manage time efficiently. Confidentiality: A high level of professionalism and adherence to patient confidentiality and data protection regulations (e.g., GDPR).



Previous Experience:

Previous experience as a medical secretary or in a healthcare administrative role is essential. Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with clinical system (SystmOne) is essential. Desirable Attributes: Experience working within a GP practice or medical environment. Familiarity with medical terminology and healthcare processes.



Ability to work independently and as part of a team. Flexibility to adapt to changing duties and cover for colleagues as needed.
