Position Overview



We are seeking a highly organised, proactive, and versatile Office Administrator to support the smooth daily operations of a dynamic private estate in the English countryside. This interdepartmental role will work across various areas of the estate including the private residence, grounds, business operations, and public-facing amenities.

The successful candidate will serve as a key liaison between departments--coordinating with the house team for managing the owner's private household needs, assisting with estate business functions (residential, building, and container lettings), and supporting the ground, finance, cafe, and dog park teams. The role demands someone with strong administrative capabilities, excellent communication skills, and the ability to prioritise and multitask effectively in a varied and fast-paced environment.

Key Responsibilities



1. Private Household Coordination



Collaborate closely with the house team to ensure seamless management of the owner's private residence. Oversee grocery ordering and household inventory tracking. Schedule and manage personal appointments for the family, including veterinary appointments for pets.

2. Estate Business Administration



Provide administrative support for the estate's commercial activities, including the residential & commercial lettings, and container storage operations. Maintain accurate tenancy records, coordinate with tenants, and assist with property inspection scheduling and communications. Support booking systems, enquiry responses, and document preparation for estate services.

3. Grounds & Operations Support



Work in partnership with the grounds team to coordinate and log daily tasks, vehicle checks, contractor visits, and supply orders. Assist with health & safety documentation and compliance filing.

4. Clerical Finance Assistance



Liaise with tenants, suppliers and vendors regarding invoices, payments, and service queries.

5. Cafe Team Support



Provide occasional administrative support to the on-site cafe team, including rota distribution, event planning support, or cafe supplies order tracking and receiving.

6. Dog Park and Event Coordination



Provide key event support during seasonal or themed dog events (e.g. Christmas Winter Wonderland Event), including scheduling, admin, coordination with vendors, and promotional support.

Qualifications



A hands-on, team-oriented attitude with flexibility to adapt to shifting daily priorities. Previous experience in an estate and hospitality is highly desirable. Strong digital literacy, including Google Drive management and scheduling tools. Physically capable and comfortable handling dogs. High levels of discretion and professionalism, especially when handling private household matters.
Job Type: Full-time

Pay: 27,000.00-31,000.00 per year
